Likelihood to Recommend

Appian

Depending on the area you want to implement, and the size of your business, Appian might be a perfect fit or a very bad decision. If you are a medium to large business with a lot of manual processes and work flows, then I would highly recommend Appian. For a lot of business needs there are a lot of very good open source solutions that would do a much better job. Ruby on Rails (RoR) is one example that comes to mind (but there are many many others such as NodeJS, ASP.net etc.). RoR creates applications quickly, has full source control, is easy to install and maintain, has a lot of 3rd party plugins to build your application quickly, integrates with technologies to allow scaling, multiple environments (dev, UAT, Prod etc) and has a huge web support presence. So basically pick the right tool for the job.

OpenText MBPM

OpenText MBPM is well suited for rapid application development where process workflows are well designed in a detailed environment. A servicing organization could benefit from being able to manage and design complex case management processes and applications. It is not suited for the automotive industry where complex custom engineering processes exist within product engineering (vehicle) and manufacturing plants.

Pros

  • Allows the use of BPMN to describe and implement a business process.
  • Forms can be build relatively easily and with 17.2 (which we haven't upgraded to yet - I have a copy for development) will allow for a lot of flexibility in the layout too.
  • The ability to build Java plugins where needed is a huge benefit as there are very few solutions that can't be implemented using Appian.
  • Can port to multiple platforms relatively easily.
  • Database access is abstracted away, so trivial to move from one DB engine to another.

  • Diagnoses and highlights errors and inconsistencies for correction based on BPMN standards.
  • Support different views of the process from Swimlane perspective, system interactions, process to process dependency, process to attributes, process to rules.
  • Able to publish processes per custom defined templates or formats on the fly.
  • Changes to a common element are automatically made to every use of that element on all diagrams (insert, update, delete).

Cons

  • We haven't found the on-premise upgrade process straightforward. The versions seem to change fairly significantly and the installation guide isn't a good as it could be.
  • Appian doesn't seem as resilient as other applications. For example, a VMware server recently had a failure and automatically failed over to a secondary. Every application running on the server recovered without intervention, but Appian didn't and was unavailable for around 2 hours whilst we worked with Appian support to diagnose and fix the issue.
  • Lacking flexibility around proxy servers but this seems to have been resolved in version 17.3

  • Be able to perform a Google type search as a user type name in text field.
  • Auto creation of next activities in model viewer to quickly generate happy path scenario.
  • Community Collaboration - Support of external process participants (ex: business partners) that have limited or no IT infrastructure, social process communities such as Salesforce.

I am very happy with Metastorm and fully intend to use it for the next several years. The only concern for me regarding Metastorm is the indications that OpenText will discontinue the product in the future. I have not yet evaluated Cordys, and cannot comment on how it will perform as OpenText's heir apparent.

It has been easy so far to use what I have learned, but I have not learned enough to use the application in great detail.

There are lots of materials online. However, it would be easier for users to have specific training and/or specific videos based on the projects they are working on.However, we are having 3rd party vendor (Bits in Glass Inc.) to provide us with support in Appian development. We are also going through various Appian training videos available online such as YouTube.

As analyst I participated in a developer boot camp. At times it was hard to keep up but most of the time it made sense. Trainer took the time to explain and slowed pace down to answer questions etc.

Alternatives Considered

As a BPM team we evaluated several other products and narrowed the search down to IBM and Appian. We had the respective companies do a head to head demo and we were impressed with both but found that the cloud based nature of Appian was more appealing so we didn't have to support an infrastructure locally. There are pluses and minuses. As a developer it would have been more desirable to have a local installation so I had more direct access to our other local databases but the maintenance with keeping a local system up with a team of 3 IT people who were already stretched to the limits in bandwidth made the Cloud option more practical.

Before first using Metastorm at a previous company, I reviewed 30 systems, shortlisted 4 and chose Metastorm as being intuitively the easiest to develop with. We have recently looked at a number of alternatives but decide to stick with OpenText BPM.
