Highlights

Coupa and SAP Ariba are both business spending management platforms that help businesses track payments and spending across the procurement lifecycle. Though the products offer very similar functionality, SAP Ariba focuses more on process improvement while Coupa focuses more on responsible spend management and visibility (though each solution addresses both of these problems). On TrustRadius, both Ariba and Coupa tend to be preferred by midsize businesses and enterprise organizations. 

Features

There are several reasons large businesses rely on Coupa or SAP Ariba to manage their procurement processes. However, each product offers a few unique features as well. 

According to end-users on TrustRadius, Coupa’s employee expense and invoice tracking are well-liked and produce clear results, mirroring the company’s goal of creating expense transparency and oversight. When used for procurement, Coupa makes it easy to create requisitions and place orders. Users also report Coupa is easy to integrate with third-party business systems like ERP platforms.

Reviewers on TrustRadius like SAP Ariba for its customizable purchase order workflow, with status updates and reminders to create process visibility. SAP Ariba also provides robust, customizable reporting. Users especially value the platform’s ability to handle complex or manufacturing-related procurement needs and environments where things could otherwise get out of hand.

Limitations

Before deciding to purchase either solution, consider the limitations associated with each product. 

SAP Ariba users report that the product is not the most appropriate choice if the business only needs to process orders simply and directly, in real-time. Even users that like SAP Ariba overall note that it can be complex and difficult for new users to set up. Relatedly, SAP Ariba’s documentation is lacking in detail and does not provide new users with much assistance.  

On the other hand, Coupa users on TrustRadius report that the platform’s mobile application is not very user-friendly. The mobile app’s expense management functionality is also quite limited, users can snapshot receipts but not much else. Overall Coupa’s users state its desktop (or laptop) experience is better than the mobile experience. Some users have commented that Coupa’s overall user interface is not visually appealing. 

Pricing

Both SAP Ariba and Coupa are enterprise-level platforms that are designed to provide control, oversight, and process efficiency in complex procurement environments. As such, they have an expensive price tag. Because of this, these platforms are not ideal for smaller businesses that are budget conscious. Neither SAP nor Coupa publicly disclose pricing information on their websites but will provide a quote upon request.

Our main goals were to drive value by focusing on adoption by all, increased visibility in spend, and compliance. Coupa is very easy to use and does not feel like an ERP. Our end users like the easy to use, intuitive interface. A side benefit that we have experienced is that we were able to get rid of a shadow system that our IT department was using to track spending. They are able to use Coupa to track committed and actual spend and reconcile it their budgets and forecasts.

SAP Ariba Procurement

SAP Ariba originally was built for goods transactions and excels in this area through catalogs and various other ordering methods. Being a heavy services spend financial services institution, we were looking for a solution that was able to handle processing services spend. SAP Ariba offers many different methods for procuring services and provides line item detail for this spend that allows us visibility into this (What was bought, How much was paid, How many received, Who consumed, Supplier utilized).

Pros

Coupa

  • Ease of use. No IT support is needed. As the procurement manager, I'm also the Coupa administrator. I have the ability to configure, correct, manipulate, etc., the system to our needs.
  • No on-going training. The system, both P2P and Sourcing are incredibly intuitive. Many SAAS modules change dramatically with each new version and require additional training. Coupa does a great job of putting updated, searchable documents on-line to augment any additional training employees may need.
  • Rock solid stability. Coupa is never down, they far exceed the SLAs we have in place with them. I've never had a catastrophic failure or outage with them.
  • SOX compliancy. Need I say more? My internal and external audit teams have given the tool more than a passing grade.
  • Thought leadership. The tool is constantly evolving to live up to the high expectations of its user base. The Coupa Community has skin-in-the-game and Coupa listens to our needs/wants as well as adding their own cutting edge touches to the tool.

  • A cloud-based spend management software solution designed to help companies control spending and achieve goals.

Cons

Coupa

  • Implementation using a third-party consultant was a mistake. Maybe we had the wrong consultants assigned to us but make sure you understand who is doing the implementation. Implementation is costly but extremely important.
  • We often can have small issues with approval chains and they are hard to figure out. If there was more information on how to understand approval chains without reaching out to support, it would help.

  • Difficulty for unskilled employ to use, when I first used it , I needed to be guided.
  • Complexity in structure for use.
  • Secrecy of data I feel is a point, for example I as a sales person can monitor all pending orders from my clients or open for quote items, even if they are unrelated to my firm. I suppose there must be some option to correct that from the client end in order to prevent loss of privacy, thereby I think it's a bit complex to use.

It has definitely made working across different business units as well as suppliers much easier and allowed for integration. I use it every day and the convenience of having everything stored in one location makes it easier.

On average, it takes a long time (2-4 months) to get issues resolved and can take multiple meetings to clarify the problem before the Customer Support team starts working on it.On a positive note, we do feel a lot of openness from team.

Alternatives Considered

Coupa

Concur was a lot easier and more user friendly for employees doing expense reports on their phone. That is not the case with Coupa. You must use your laptop to do expenses and our managers don't always have enough time to do that while out in the field working. This has caused some issues.

We only evaluated SAP Ariba because it's the leader in the market and fits perfectly with our needs. We have a long-time strategy to substitute other applications with SAP systems, so we can integrate easily all of them. We had a change in the top of the purchase department and the new manager had worked before with SAP Ariba and he wanted Ariba.

Return on Investment

Coupa

  • The easy internal process to find. Given this is the same for all teams, I'd guess there is a positive impact from our Finance Team as they only have one tool they have to manage, pull reporting from, etc.
  • Frustrating process, as mentioned at times this can be a frustrating tool to use, which I think causes a lot of employees (who are not on the Finance Team) to direct undue frustration towards the Finance Team, creating avoidable tensions.
