OpenText Hightail

Hightail is my go-to source when I need to send large files that would never fit as regular attachments. That being said, sometimes there are files that would perfectly fit as attachments but I want the security that Hightail provides when sending sensitive or private material. It's very comforting knowing that the content I'm sending is only being received and viewed by the intended parties. It's also comforting for my clients when it's THEIR content that I'm sending for review.

Todoist

I personally love Todoist. It helps me manage my day in the office and at home. Honestly, I don't know how I used to live without it. If you're personally looking for a simple checklist or project management software, there's nothing better than Todoist for simplicity, ease of use and price. If you're looking for a robust, advanced business project management software, there may be better options with advanced features that you want (we use Teamwork Projects, for example). I would say if you're a small team, then Todoist business could fit your needs while you grow. Once you get beyond a couple of members on your team, I could see how you may want advanced features that Todoist simply doesn't offer.

Pros

OpenText Hightail

  • It’s great for sending large-sized art files for print
  • It’s secure and files can be easily tracked
  • I like that it tells you how long it will take for the desired file to upload

Todoist

  • Universal shortcuts in the desktop apps reduces friction between thinking of something you need to do and actually adding it to your list.
  • "Tagging" systems for projects makes assigning tasks extremely intuitive.
  • Google Cal integration allows for a basically universal way of having tasks show up in your devices even if you don't have Todoist currently installed, as well as letting you use the Google API to integrate tasks for other uses (e.g.: automatically booking a meeting room for certain tasks).

Cons

OpenText Hightail

  • I wish the screen would auto refresh faster, but that could be an issue with our bandwidth or IT pipeline and not the product.
  • I'd like a quicker way to get people up to speed than giving them a link to watch a multitude of videos and tutorials.

Todoist

  • Todoist does not make it easy to find a "calendar view" of the tasks-at-hand. I like being able to scroll through lists of my "Today" tasks, "The Next 7 Days" tasks, etc., but I would like to have a clearer feature where I can see a calendar of how many tasks I have on each date, and how many Priority 1 versus Priority 3 or Priority 4 tasks I have, etc., in more calendar or graph-based visuals.
  • Todoist does not necessarily allow for automatic sharing of tasks, which I would prefer in such a small team at this point in time. You can share tasks one-by-one, but I think there could be strength to setting a default where you inverse the model and allow people to hide tasks as individual-view only, versus just allowing others to see what is on your plate. I think this would foster more collaboration and allow others to see what you have on your plate that they may be able to help with, too!
  • Todoist doesn't have a quick-view to see which other team members have set up Todoist, and how many tasks they have as you scroll through any calendar or list views. This would be really helpful for team capacity planning and covering or leveling out work loads.

Todoist

Todoist 9.6

One of the best things about Todoist is how easy it is to get up and running. The company had no difficulty in making it their go-to choice for task management. Additionally, creating a task and assigning it to others is dead simple (which is 99% of what a tool like this is used for!).

I've been able to find answers to any questions I have in the support documents. You can explore key features and view ideas and best practices for getting organized with Todoist. You can also fill out a support form to submit a request for customized help if you run into anything not covered in the support documents.

Alternatives Considered

OpenText Hightail

We looked at Dropbox because it's very well known in the industry and widely used. We didn't use it for a couple of reasons. First, our server security presented too many challenges and our IT director nixed the idea. Secondly, a lot of people used DropBox for personal use and we thought it could be confusing to have to navigate between the two choices. Hightail offers a single sign-in that can be shared amongst users so there is never a conflict between personal and professional use.

Todoist

For a pure to do list software, nothing beats Todoist. There are certainly features that Asana, Basecamp and Bitrix bring that Todoist will not do, but they are project management software, not specifically for to do lists. On the other hand, when compared with Wunderlist, Trello, and Smartsheet, the difference is clear. Todoist runs circles around these in terms of shortcuts, ease of use, and smart features (like auto reschedule). Add a good looking (dark theme) mobile application and the stream of useful updates, and this is the to do list software you want.

Return on Investment

OpenText Hightail

  • Team members can view and give feedback on videos, which is very useful.
  • The storage really can't be overstated. It's great.
  • It's generally pretty affordable for how much you can host on their server.

Todoist

  • Todoist has ultimately been a neutral for me. While I like some of it's features, like e-mail to Todoist or timetracking, there just wasn't enough there to justify purchasing a Pro subscription. I ended up finding similar solutions through Google's Task & Keep products.
