CodeTwo Email Signatures 365 saves us a massive amount of time monthly. Before, we were manually editing and applying profiles to each user's machine, which was time consuming and error prone. The signatures never looked right and the users were always changing them without consent leading to more formatting issues. Now that we are using CodeTwo Email Signatures 365, we are able to manage all of the signatures in one place using smart templates to selectively apply to different users.

Use Cases and Deployment Scope

We use CodeTwo Email Signatures 365 to centrally manage and standardize email signatures across our organization. Before implementing it, we were already using a CodeTwo product for Exchange On-Premises. After moving to Exchange Online, we needed a similar solution that would allow us to personalize signatures for different departments or individual users without manually editing each one. The product solves theses problems by allowing us to control signatures at the tenant level in Microsoft 365 ensuring every email, both internal and external, use the correct signature, contact details and compliance information without relying on individual users to update their own signature.

As an MSP, we use the software internally, as well as providing the service to our clients. It completely eliminates the requirement of setting manual signatures within various Outlook clients, and even includes automated signatures when sending from mobile devices, which our clients absolutely love! The fact that we can make an initial change to a signature, and have it immediately deployed to 200+ staff is great.

For any company we notice it is a hassle to maintain consistency in the signatures of the employees. CodeTwo is our go-to solution to manage and maintain signatures in a central configuration setup.

While it's easy to do a company wide signature it's also possible to go very granular , based on departments or even down to specific persons.

The flexibility and ease of config is our main reason to go for CodeTwo for our e-mail signatures.

Cons

  • In the past we had one time that (CodeTwo) servers in the mail chain were blacklisted by some antispam services and this caused issues. This happened only once and was solved pretty quickly though.
  • Downtime on CodeTwo infrastructure can cause E-mail delivery issues, a quick solution to temp disconnect from CodeTwo in case of issues would be nice.

Great help for managing our staff signatures

We are a recruiting company and have around 80-100 persons in house. So we needed a solution that allows us to manage users and their signatures, and changing these in a heartbeat - be it for special campaigns, or just for the general implementation of our standards. No more hassle with single users and their signatures, just a good product!

Pros

  • It really does an amazing job integrating with our AD so we can onboard and offboard users without any delay
  • The design of the signatures is really easy and powerful. Whether it's pictures, tables or just a lot of data coming from AD, it's simple.
  • Support is really great, too: Whenever we had a question, it was always answered swiftly the same day or the next.
  • Changing signatures for campaigns is really easy, just as excluding some mailboxes or including them elsewhere.

Cons

  • Slight trouble when first setting it up with our AD
  • More templates would be nice (maybe a gallery)

  • Yes, CodeTwo Email Signatures 365 does cost a bit, but the cost is offset by the easy maintenance
  • Will definitely pay for itself in the long run, we're in the process of growing our business
