CodeTwo Email Signatures

Very useful software. Prevents the need to setup Outlook signatures on all workstations/terminal servers. This system is automated, so it will include the signature whenever the rule applies (most commonly "anything but internal email"). This may be overkill for smaller organizations, but any medium-to-large organizations will greatly benefit, especially with its uniformity.

Crossware Mail Signature

It works really well with Exchange Online/Office 365 environments with a very simple setup and ease of customization and easy to use and understand management panel. Not sure how well it works on on-premises deployments as I have not tested it in that scenario.

Crossware Mail Signature

  • E-mail signatures. Full customization and easy to deploy.
  • E-mail disclaimers. It allows us to set the disclaimers for the whole firm and apply them to all outgoing emails.
  • Policy-based control. It simplifies the management of the signatures and disclaimers.

CodeTwo Email Signatures

  • Support is not US-based and works on strange time frames. Once you get support on the phone, they are average at handling issues, but all of my problems have still been resolved.
  • If the software has issues, it can cause significant downtime for Exchange. Especially when the Sent Items feature is enabled, this can cause the Exchange Transport service (allows sending of email) to fail and email flow to stop. This, of course, is just a temporary bug in the software that can be prevented with software updates.
  • The software can be complex to learn as you build your signature templates and apply them to groups.

Fortunately, we haven't had to deal with support much, but every time we have, they were very responsive and were able to either fix our problem or explain the way it worked in a timely and polite manner. Not much else to say other than being in the same region is also a plus for support.

Alternatives Considered

CodeTwo Email Signatures

I know of no other product that is even remotely close to being as good as CodeTwo (at least as far as centrally managing email signature blocks goes). The exchange has some built-in tools for this, but CodeTwo is much easier to use and doesn't cost much money to buy. I believe you can also get a free trial of the software, if you do it, I think there's zero chance you don't end up keeping it.

While Crossware seems to have been designed with cloud services in mind. Exclaimer appears to be an on-prem solution that has been modified to work in the cloud so there are some things that don't work as they should and the maturity that Crossware exhibits are just not there. It's still a very good product but not as robust as Crossware when it comes to Exchange Online.

  • Great time-saver! Having to configure Outlook signatures on computers and terminal servers is a giant waste of time.
  • Uniformity! Forcing structure for all users so the entire company has the same configuration.
  • Low price, this software is very economically priced and the "bang for the buck" is phenomenal.
