Use Cases and Deployment Scope

Sage Intacct is our primary financial accounting system. We are a mid-size non-profit in a metro area that runs multiple programs side-by-side along with a robust grant-making initiative for local agencies. Most of our programs are also grant-funded. Sage Intacct allows us to run multiple revenue streams alongside one another and provide custom reports to each program manager.

Use Cases and Deployment Scope

We use Sage Intacct as our accounting system for a small group of UK and Dutch companies. There is one main trading company and several holding companies. We wanted to find a modern (i.e. user friendly and relatively polished) accounting system that offers multi-currency, multi-entity (including consolidations), email workflows for approval of purchases, invoices etc and must be cloud based for security and accessibility.

Pros

The system offers great functionality for software at this scale and price range and seems to have a range of additional modules available to meet client needs as they evolve
The audit trail associated with transactions is helpful for tracing errors and resolving issues if human errors occur
The email based workflow system for approval of transactions such as purchase orders is very convenient

Cons

The app does not work well for approvals on smaller mobile devices, the mobile layout doesn't function well
Error messages when there are issues with transactions can be confusing
Creating simple, clear attractive reports on spend seems not straight forward

Return on Investment

Realistically the choice of accounting software has had limited impact on our ROI overall as our accounting requirements are relatively straight forward
Implementation and roll out of the system was relatively stress free and didn't take too long so we didn't tie up excessive resources in that proceess.
We are currently working on improved expenses management and the spend management functionality seems to meet our needs for this. It should theoretically leader to better cost control and improved profitability.

We use Sage Intacct as our primary financial ERP to address all accounting needs across our organization. We use Sage Intacct for Procurement, Billing, GL reporting, Financial reporting, and other finance use cases. We use Sage Intacct integrations with Avalara Advanced CRM and Salesforce to create contracts and manage billing. Sage Intacct helps us bill our customers based on contracts and sales invoices and send reminders and invoices on time. It also helps us track our payments to our vendors and bank reconciliations.

We are a church of 4,200, with affiliated non-profit businesses. Our operations cover 3 campuses. Our work includes our local community, but also >$2 million that goes toward international development and mission efforts. Sage Intacct has to make sense of it all. Our accounting & finance functions are the primary use of Sage Intacct since conversion 1 year ago, in May. The implementation of the system was robust, and now we expect to expand our use of the Sage Intacct tool-set in coming months and for years to come.

Pros

Excellent roll-up reporting of various categories of expenses across multiple depts. Data is not siloed when we want to find all revenue sources across business entities, for example, or even down to details such as what is spent on "discretionary" expense elements.
Coding nomenclature is flexible and makes sense across business areas. Again, this allows for both more effective capture of data and with reporting slices and iterations.
Sage Intacct's open architecture (availability of APIs and already existing hooks) has made integration with other system tool-sets easier than we would ever have thought.

Cons

Our main struggle with Sage Intacct has been with ease-of-reporting. The data is there, and the system is very flexible. But it is sometimes in a form that requires more analysis than we have been used to with our prior system solutions. However, much of this has been addressed and we have become more knowledgeable about the system, and have learned how to parse the data and properly code it.
While I previously stated that roll-up reporting is solid, we do have some issues with consolidating financials across multiple entities. We have 5 major "companies" and some consolidation has to be done off-line, using Excel or similar.

Return on Investment

As a church, we are not as ROI driven as other businesses. However, we can say that after only 1 year into our use of Sage Intacct, our most exciting finding is in staff productivity. When we have less administration to attend to, we can serve our communities with the time that is freed up.
The integration we have now between Sage Intacct and Bill.com and ADP payroll, for example, have absolutely saved us hundreds of man-hours a year - with elements such as reduced follow-up on expense reporting, eliminated reconciliations and more power in the end users' hands.
