Overall Satisfaction with ADP SmartCompliance

We utilize ADP SmartCompliance for the payroll tax and garnishment services. ADP files our payroll tax returns on our behalf as well as researches tax notices that come in from agencies. We knew that we did not have enough internal staffing resources to complete these tasks on our own, so we looked to ADP who we had worked with in the past.

Pros

  • Easy to find tax records to locate previously filings ADP completed on our behalf
  • Quarterly exceptions help us identify issues early so we are able to review and correct them as needed before closing the quarter.
  • Easily able to open a help request for our account manager and are very happy with the new ability to add on others in our company to a request case.

Cons

  • Does not accept screen shots from agency websites nor emails that come from agencies directly as tax notices to be researched. Sometimes the only correspondence we receive regarding a balance due or further details is via these methods, so it is frustrating when ADP rejects them when we request they are researched as a tax notice.
  • Tax Notice cases are often closed without waiting for confirmation from the agency that the issue has been resolved. This often leads to additional notices, penalty, and interest assessments which is frustrating.
  • Reports can be difficult to read/understand and require a nuanced level of understanding that the average person outside of ADP would not possess.
  • Reduced workload related to filing periodic tax returns with agencies
  • Reduced workload related to processing/mailing W-2 forms on our behalf
  • Agency notice research/resolution is an area that needs work. Sometimes I feel as if I am spending more time following up on cases I have opened/asking to have issues re-opened as ADP did not satisfactorily resolve the issue.
Workday
We process payroll in Workday and that data feeds over to ADP, who makes tax payments and filings on our behalf.
Yes, we enjoy the "Eye on Washington" emails that come out and find them informative.
We appreciate being able to use the same system for both payroll tax and garnishments.
ADP SmartCompliance had already been selected as a vendor prior to my joining the company.
I think one area where ADP excels over OneSource is in the amendment processing. OneSource has a very manual process where you have to request each period/state/jurisdiction needed, then you have to manually review and approve each amendment within a short amount of time. ADP's process of submitting an amendment sync and automatically detecting what amendments are needed based on the information in the sync is much preferred.

We love our account manager Joanne Renova who goes above and beyond to make sure that we are well prepared for quarter and year end. She is the reason we are enjoying our experience with ADP thus far.
SmartCompliance itself is fairly easy to navigate and has a lot of resources/links available to help & further knowledge.

Using ADP SmartCompliance

8 - The main users of ADP SmartCompliance are the Payroll department, specifically management. Other users in my organization include members of the Accounting department, who only utilize the invoice/billing functions.
  • Submit payroll data for ADP to make tax payments on our behalf
  • Submit payroll data for ADP to file periodic tax returns on our behalf
  • Process W-2s on our behalf
  • Giving our Accounting team access so they can review invoices themselves instead of relying on the Payroll department to provide
  • Tax ID registration services
Our organization is overall happy with SmartCompliance and have no plans to switch providers in the near future.

Evaluating ADP SmartCompliance and Competitors

Yes - We previously used ADP Workforce Now and I believe we were upgraded to SmartCompliance which has improved functionality.

No, I am not aware of a "premium" support option or the team in charge of the purchasing decision did not select it.
Yes - We have run into several bugs, mainly related to the "Help" contact feature. In the past, the Help feature has disappeared. Other issues include our help requests being routed to the incorrect department/someone other than our service rep and then not being answered in a timely fashion.
Our former account manager Joanne Renova often provided exceptional support in regards to quarter-end preparation and ensuring that we were well informed on all processes and was readily available to assist with any issues. She would always provide a proactive email with a comprehensive list of items we should be reviewing which was very helpful.
Using the Help function, sometimes responses can be slow (over 1 business day). Our former account manager would respond within hours so this is an unfortunate change to our service level.

Mostly user friendly, but training is required to understand where tasks are in the system. Standard reports can also be difficult to interpret (such as the the Quarter Balancing report).

ADP SmartCompliance Reliability

Only two departments in our organization use the software (Payroll and Accounting). It is nice that the Accounting department is also able to utilize the software on their own for invoicing purposes.
Availability is good, with only one or two instances of not being able to access the system at all which were quickly fixed. Some features do not work correctly from time to time, such as the "Help" function or the "Sync" function.
Some reports can take some time to complete; recently have noticed page lag time/unavailability of certain functions like "Sync."

For a few years, we had an amazing working relationship with our client account rep Joanne Renova. We now have a different account rep, and unfortunately do not receive the same level of service as we did in the past (delayed responses, having to repeat questions or not understanding our questions).

Ensure you are happy with the service you are receiving from your account manager.
