Overall Satisfaction with Diligent Boards

We are a medium-sized family-owned business. However, we comprise several companies. Each has a board, a Remuneration Committee, and other groups. Before Diligent getting a board pack together was a long, manual process. Items arrived late, and the entire crew had to be resent. It was all handled in email and folders, and sometimes, people showed up with out-of-date packs. Everything was manual and slow. Now with Diligent, we have Boards, committees, and senior leadership teams all using the system. Everything is digital, up to date, and synchronized. It took less time to set up a template skeleton for every single board pack to use going forward than manually setting up a single meeting. It's a real game-changer. That doesn't even include its other functionality, circular resolutions, notations, and voting.

Pros

  • Board Pack building
  • Circular resolutions and voting
  • Mobile Device Apps
  • Branding and customization

Cons

  • Adding new boards is a support call
  • Adding new users is a support call
  • No automated license tracking. Cannot just add new people and be updated
  • Board Pack Creation and distribution
  • Circular Resolutions
  • In-meeting annotations
  • Archiving
  • Mobile device app
  • Meeting preparation is 25% of the time it used to take
  • Board engagement is higher in meeting
  • Board governance is much improved
They do look to set themselves apart in their customer service, and they have succeeded. While having every board and user set up via customer service is a mild annoyance, their turnaround time is excellent. I generally deal with a single point of contact when I contact them, which is top-quality support.
We trust Diligent security. Obviously the board meeting have extremely confidential and high level information presented and discussed. Connecting the system to our Azure AD SSO means access to the software is tightly controlled. Then there is the internal security around who can see what and do what within the platform. We can be confident that only those who we want to see the information are seeing it.
This was a product recommended to use by a trusted network contact. We did not look at any other systems for this kind of software. Once we evaluated its capabilities, it was evident that it met our needs. We implemented based on that work without looking at alternatives in the market in this instance.

It is well suited for companies with multiple boards that meet regularly. If you have five monthly panels, that's 60 meetings a year and 60 packs to set up and distribute and get minutes for votes and resolutions; if you throw in committees or anything else, it's a huge chunk of time just preparing. With Diligent, you can easily configure templates. Get the required information, set up the meetings, notify board members and ensure they have the very least up-to-date info, even if something was submitted 5 minutes before the start of the meeting. I would still recommend it if you don't have that many sessions, but the cost might outweigh the efficiencies.
