Overall Satisfaction with Nintex

Nintex is used in our organisation for two distinct purposes. firstly as a workflow automation tool integrated with SharePoint, and secondly as a knowledge and process mapping platform. Workflow automations include forms to kick off new employee user provisioning, across payroll, technology, human resources etc.

Process Manager is a specific Nintex product we use as a knowledge management platform for our organisation, containing processes, policies, and other key documents.

  • APIs and integrations are lacking
  • Architecture and UI is dated
  • Search functionality is poor
  • Integrations require cumbersome manual coding
  • Streamlined processes
  • Enabled knowledge management
  • Incompatibility with CoPilot agents will likely lead to migration away to SharePoint
In my opinion, Nintex is based on an aging architecture, and a dated user interface. I think Process Manager has very limited functionality to improve the user experience. Search very much relies on having intuitive language and tagging across processes, it is nowhere near Google search functionality. Workflows are simple and limited in their capabilities.
Our organisation uses Nintex in conjunction with modern SharePoint to manage knowledge content. At the moment we haven't been able to prioritise the coding work required to integrate process manager into other platforms. The key limitation is with the lack of compatibility with Microsoft Copilot, and the need to surface information via chatbot agents.
We selected Nintex because Process Manager is a purpose designed platform for knowledge management. However, what we discovered is that there are significant limitations, which has lead us to now explore developing a knowledge management platoform in SharePoint. this is a much more manual approach in development, however it's a much more flexible platform to meet our needs.

Nintex might suit small businesses comfortable with simple systems and manual tasks. It may also suit larger businesses who have the scope and budget to invest significant development into integrations, to scale the platform across their organisations. In my opinion, most medium to large enterprises should look at alternatives which meet modern standards, and are compatible with modern SharePoint, Copilot agents, etc.
