Overall Satisfaction with Paylocity

Our workforce is spread across job sites in multiple states, with a mix of salaried corporate staff, hourly field technicians and project based contractors. Paylocity helps centralize everything under one roof while respecting those distinctions. The major gap it filled was with job cost alignment and compliance.

Pros

  • It supports a dispersed hybrid workforce like ours so well due to their top compliance features.
  • Handling time tracking tied to cost centers. The system lets our teams tag hours in real time from the mobile app, which then syncs directly to payroll and job costing reports

Cons

  • where it lags for us is around integration depth. We use a third party ATS and pm system, and while paylocity has APIs, syncing applicant data or pushing job cost reports back into our ERP hasn't been as seamless
  • minor issues with reporting permissions.
  • I am directly involved with cost containment so I can quote a solid $30k/year reduction on external tax consulting fees around multi state wage compliance. That's because it automates tax code updates and jurisdiction mapping
We used to have a two team person spending 15 plus hours per week on payroll clean up: reconciling hours, correcting shift entries and coding labor to the right project. Now with geotagged time punches, and project specific codes, most of that happens silently in the background.
I've grown to use and abuse the premium video feature. We use it all the time for internal messaging. I frequently send short videos to teams explaining policy changes instead of long email memos.
An 8 because it strikes a good balance between depth and day to day usability, especially for a large workforce like ours. Admin tasks like onboarding and managing docs are also pretty intuitive once you're familiar with the layout

The best use case has to be the customizable onboarding workflows. We've built templates that change based on whether someone is a field technician, CAD operator, or senior pm. Each role gets its own compliance steps, safety training and document requests.
