Overall Satisfaction with Paylocity

We use Paylocity as our timekeeping, time off tracking, onboarding and HR software. We used to keep our time through Excel spreadsheets that had to be physcially signed by the employee and supervisor. Paylocity has allowed staff the ability to enter & submit time whereever they are. We also maintained Excel spreadsheets to track employee time off in each category. Paylocity now does that for us and employees can see their balances each time they log in. Paylocity has also automated our onboarding process and HR activities, which has been extremely helpful as we now have employees who live hours away from the office location.

Pros

  • Automated timekeeping that is internet-based is extremely loved by all staff.
  • The Help Desk is ALWAYS helpful when I call and are willing to answer any question I have. The are VERY responsive, which is always appreciated.
  • The automated onboarding process for a new staff member has been extremely helpful.

Cons

  • We don't use the clock in/clock out segment of Paylocity; but rather employees simply enter their time each day or each week. In the timesheet, there seems to be a glitch if an employee wants to go back and add more time in between two lines that already exist. The activity times have to be adjusted by 1 minute so Paylocity doesn't freak out.
  • Adapt the platform for organizations who don't have employees submit their time in order to process payroll. We pay employees on a semi-monthly schedule; however, they are allowed to submit their time at the end of each month. Because of this situation, I have to run a Benefits report at the end of each month that shows how much time was used by each employee for each time off category. And then, I manually enter the time off used into the HR & Payroll segment so the balances between Time & Labor and HR & Payroll match. It would be great is Time & Labor and HR & Payroll talked to each other in this scenario.
  • Reduced time entering time.
  • Easy and quick time-off requests and approvals.
  • Better reporting mechanisms.
Due to the automation of payroll, it now takes less than half the time to process payroll each pay period; which gives me more time to do other items. Also, having Paylocity pay all the payroll taxes and prepare the payroll reports and W-2s has been a life saver.
The Community and Peer Recognition tools have been great for employee engagement in keeping everyone up-to-date on what's going on.
I believe no product is perfect and there is always room for improvement.

My assumption it that it is well-suited in an organization where employees actually clock in and clock out. It is not ideal in organizations where most employees are salaried and don't have to clock in and clock out. We make use of Paylocity as best as possible; however, there are accomodations that have to be made.
