Overall Satisfaction with QuickBooks Online Advanced

We use QuickBooks Online for all of our GL, Fixed Asset, Billing and Payable activity. We also track our grants via the tagging feature, but will need to learn how to do this now that the tags are going away. We particularly enjoy the ability to scan receipts and attach other documentation to every transaction. This makes auditing so much easier - usually able to be done remotely.

Pros

  • Transaction support (attaching documents, spreadsheets, etc.)
  • GL management - hierarchy of accounts, expandable levels of detail on reports
  • Paperless-friendly billing

Cons

  • AP approvals are not working for us and we would really like to use them.
  • More flexibility to make GL accounts inactive when they aren't used (system-generated ones)
  • Flexibility to create default transaction report formats so the info you need is on the screen every time you drill into a report.
  • Fixed asset depreciation should allow allocation to the appropriate classes based on class of asset.
  • Interest and fees recorded during the reconciliation process should allow a class.
  • We have been able to avoid a $10k contract for document storage because QuickBooks makes it easy to keep items electronically.
  • We are able to collect on our receivables more quickly with paperless billing.
  • The GL reconciliations have made documentation for audit so much easier.
I was not here twenty years ago when the system was implemented, but we reconfigured the GL last year and I was surprised at how well that went. It caused very little disruption, and we are able to go back and pull reports in the new format for historical periods.
We have not had much luck with the mobile app and would really like to use it for receipt scanning with our purchasing card holders. Unfortunately, the set-up for using a class and for coding transactions is very clunky and not usually in the skill-set of a non-accounting end user.
We need to track restricted and unrestricted assets as a non-profit and QuickBooks Online is flexible enough for us to do this easily within our equity accounts.
