Instead of using a cumbersome excel workbook, we use Qvidian as our sole database source for responding to RFPs. It is an incredibly robust system that can house endless pieces of data (pieces of data include one question and one answer. We also create our draft Proposal response cover letter and Executive Summaries through the Proposal Automation tool in Qvidian. Qvidian provides merge codes for content that can be edited in one place and will update in all of the areas that you have that content.
  • The ability to use a style template that will have all of the data formatted consistently
  • The ability to have document automation allows you to create cover letters in a matter of minutes
  • Merge codes are an efficient way to update changing content
  • The drop down menus can be difficult to navigate
  • Sometimes the support staff "quizzes" too much about the problem instead of getting on a WebeEx to look at the issue

Proposal Software.com (PMAPS) - slightly high in prce than qvidian. It is virtually the same concept of Qvidian, just had more knowledge of Qvidian

Qvidian has been an invaluable tool for our RFP Desk. We are able to create cover letters, executive summaries, Powerpoint presentations, business case templates with minimal effort. The content is easy to maintain and update with the expiration dates and alert text. The content is easy to export to excel in order to send to non-users for review.
Companies that have a Proposal department should invest in the Qvidian tool. It houses all of your content and it user friendly in terms of editing content and managing content folders. The Proposal Automation is an excellent tool to use for creating on the fly cover letters, Executive Summaries, and even Powerpoint presentations.
