Overall Satisfaction with Webexpenses

We use Webexpenses across the whole organization. It's main use for our company is to record and manage work-related expenses our employees sometimes have to make. E.g. Declare expenses relating to self-development, also some team event expenses or business travel costs such as train tickets. I just have to submit evidence of the expense, my lead can then review it and if everything looks good my expense will be passed for payment.
  • One place to record all sorts of expenses. This approach makes recording expenses easier for an end user like me.
  • When it comes to self-development expenses the system lets me know of my annual budget. Makes it easier to plan my self-development budget.
  • I can always check what expenses have I reported historically. This makes it easier to ensure my new expenses are submitted appropriately.
  • I sometimes struggle with associating the expense evidence material to the expenses I want to report. I.e. I usually take a picture of my receipt and upload it but sometimes I find it hard to associate the picture with the actual report. The flow could be more automatic I think.
  • I sometimes fail to find the right button to Submit the expense report. Perhaps make it more visible.
  • The flow from start to finish could have more indication on the steps I have taken and on the steps that I will need to take next to complete the process of declaring my expenses. Webexpenses could illustrate the process a bit better.
  • Central place to manage expenses - less other systems to manage.
  • Overview of how budgets are used.
  • Easy approval flows for approving expenses - less time spent on negotiating expenses.
It's easy to see which expenses I have logged there historically. It is not always so easy to log a new expense. The main problem is when an end user logs expenses only a couple of times a year and forgets how the happy flow should look like. For example, associating expenses evidence to the expense report is not intuitive. In addition, it is sometimes difficult to spot the Submit button to submit the report.
I haven't had the need to contact Webexpenses support. If I have any problems, I mainly reach out to the people we have in our company listed as principal users of Webexpenses. They seem to know the system inside out and have always been able to help me with my questions.
Yes. Once I have submitted my expense report, it will go to my Team Lead who will then have to review my expense report. They can either approve or reject my submission.
I was not the person who set out requirements when we decided to start looking for a new expenses management system. I can only provide a comment form end-user perspective which is that the user experience could be improved by making the expenses submission journey a bit more visual for the end user.
Since I was not in the project team, it is hard for me to tell you that.
It's a good tool to keep track of all expenses. At the same time the usage of the tool is not always intuitive and might take a couple of tries to get it right. Some people only submit their expenses a couple of times per year and as the procedure of filing an expense has not been visualized in the platform, the end user might forget how to go through the platform successfully. End-user happy flow for expenses management should have more clarity. But the platform itself is good for all sorts of expense management: self-development expenses, transportation and other travel expenses, team event expenses etc.
