Overall Satisfaction with Webexpenses

Webexpenses is used by every user in the company when required. Its use forms part of the induction process and the finance department use it as a way to manage all expenses - from travel and meals to hotels when visiting our suppliers of manufacturers. It allows the process of expense management to be handled by external people and makes the processing clear when rejected.

  • Receipt management.
  • Status tracking.
  • Confidentiality.
  • A monthly email summary of claims in process or not complete.
  • Advice on any limits per account.
  • It allows for the expenses to be challenged and communicated in a clear way.
Similar to my last answer, the user interface is very straight forward and there are prompts on nearly every step of the way that clearly indicate where further information is required or if something is incorrect. The remote review and accept or reject system means that there is no need to communicate private information across emails or vocally to another department that may be intercepted.
It is hard for me to give too much of a qualification on this section, because I have not as yet had any issues outside of a change of login when I first started. This was amended very quickly however and the feedback and general opinion of the system from my colleagues is positive which is indicative of a well supported system.
The requirement for receipts slows down the process which is fair enough. It is probably a more company to company requirement rather than one specific to Webexpenses but the ability to set a lower limit for small transactions that can be fast-processed (i.e. without attached receipts) where a full chain is not as necessary.
The system is user-friendly, simple to use and has feedback at each stage with the claim status and any missing information. For the task required for our business it meets all of the demands (as a user processing my claims). I can't think of anything else I would want from the system so it ticks all the boxes.
Nearly all of the companies I have worked for have used their own purpose-built systems. Whether this is a paper-heavy system or a portal and login style. Webexpenses is my first experience of a company outsourcing and using purchased software and I am happily surprised by the results. It shows what a little investment can bring to an area largely neglected.

Having used a few different expense systems and processes, I think that Webexpenses is probably at the top of the list (barring when I was more junior and it was just a case of handing receipts to my line manager). The system is so simple to use that the induction process at our site could be skipped and users could probably figure out the system through trial and error. I've had no issues with it so far.
