Overall Satisfaction with Webexpenses

We use Webexpenses to process our staff's expenses. Our staff enter their expenses on a monthly basis and then the Finance team review and approve them, to be paid alongside payroll. It removes the need for paper based expense forms and allows employees to upload their receipts. The employees themselves will allocate the expenses to different cost centres, clients and expense codes in our Accounting system.
  • Paperless.
  • Xero integration.

  • Two separate users needed to review and approve. Doesn't work in one person Finance functions.
  • Hard to read receipts when reviewing claims, should be able to zoom in.
  • Would like to see a module where you can see your monthly reviewed and approved claims so that I can see which claims I need to pay at month end.

The system is pretty intuitive and if there is something you are unsure about, there are how-to guides available and FAQs which can direct you to an article which often has video demonstrations.
Very quick response when calling them. Advisor was able to support over the phone and also able to login to our portal remotely to provide live assistance.
We are still using manual reviews to check claims submissions and approving expenses. Our employees are able to raise claims whenever they are free as it is a cloud based system. Our month end review process is more insightful as we can run reports and look at any anomalies or trends.
We wanted a cloud based system that could integrate into Xero and could handle user claims as well as credit cards. We wanted the reporting function o be robust so that we could recharge expenses easily to clients.

The credit card upload process is a bit tricky, and csv files sometimes get rejected when trying to import them. But for normal day to day expenses the system works well and the reports are very useful too. They are developing new features to keep the system evolving and they offer System Health Checks with their advisors to see if there are any areas for improvement.
