ActiveCollab

Active Collab is great for small teams who want a web-based project management platform to help them on their day-to-day workflow tasks, billing, estimations, vendor assignments and even client communications. It is also great for agencies with users who are sometimes remotely working. Active Collab starts to show shortcomings when you have an immense amount of projects in the system (1000+), and, being a web-based platform, can sometimes experience downtime.

Asana

Overall, despite its drawbacks, Asana works really well for our team. I think this is an appropriate [tool] for a mid-sized digital marketing firm, like ourselves. A software development team is going to want something more robust, like JIRA. However, if you're just shopping for an easy-to-learn tool that will help you manage responsibilities without relying on email? Asana is perfect. Its flexibility also makes it a great fit for most work-flows in almost any industry. Asana is simple out-of-the-box, but it does have robust functionalities that will allow your team to ramp up if desired.

Pros

  • Great for project and task assignments, project workflow and communications.
  • Solid web-based platform that doesn't require software downloads, also includes great mobile platform.
  • Great reporting tools for managing billing, estimating, project workflow and other essential project details.
  • Allows for both the agency and its clients to interact on a single platform using role-specific permissions.

  • Report of tasks added to tasks completed to see how productive the team has been with a particular project.
  • Individual tasks so you can see how swamped/not others on the team are.
  • Adding a project/task to multiple projects is awesome. We have a general ALL marketing projects in one project and then separate them out in another (email, social media, etc.).

Cons

  • They don' do Gantt charts well
  • Integrations aren't awesome yet
  • They don't have task dependencies

  • I wish Asana had more customizable reporting. One of the benefits of using Asana is that you can track tasks and actually use those tasks to build repeatable processes, but decoding reports can be challenging.
  • Asana's printing functionality needs improvement. You can use Asana tasks to create agendas, for example, but it's not possible to print a clean agenda to share with a group who's not on Asana and/or doesn't have their computer at a meeting.

Asana is adding more useful features and it makes the work of their entire team more organized and more efficient. It really helps us in achieving greater achievements as a team. It helps us to earn more revenue since we have more satisfied clients, simply because we are able to finish their project on time or even before the due date.

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

Alternatives Considered

ActiveCollab has all the functions that are in these services, unlike them. Not everywhere there is a diagram of gantt. And somewhere the interface is very rewarded and in general looks obsolete.

Asana lets you view things in tasks. Trello is more geared toward projects with their board layout. I find Asana to have the best user interface of all project management softwares. It may be missing some functionality (like budgeting and time tracking -- which you can add on with integrations), but I feel that I can actually use it. With the other project management tools I get frustrated by trying to figure them out that I don't use them at all

Return on Investment

  • We began to finish projects on time, which undoubtedly will influence the return of customers
Иван Шайхисламов profile photo
  • Asana has allowed us to better serve our customers by keeping track of requests and not dropping the ball.
  • Asana has allowed us to be more mindful of each other's times and commitments by allowing us to individually prioritize tasks in our own workflow.
