Scenarios where ActiveCollab works well1) ActiveCollab works well for small teams specifically T&M teams.Its invoicing feature is unique & can make your life easy.2) It is very easy to use & posses good range of filters like on the task list, we can drag/drop tasks, Filter by assignee's,
tasks lists, due dates, or completed tasks. 3) It has some simple but awesome features like when you're in
the middle of writing something i.e a comment on story and get interrupted,
it retains what you wrote.4) It allows you to tag team members in threads of comments to grab their attention, its really needed when teams are distributed. Thus helping team members to collaborate easily & stay on same page.5) It integrates pretty well with other web apps like quickbooks , Slack, Trello, HubSpot, Zapier etcScenarios where ActiveCollab did not work well1) Tasks can not have multiple assignee's here so if two members are working on same task it did not allow you to reflect that.2) Sorting capability is not their under invoicing3) It did not work well for larger teams4) Search option is not very detailed & you may end up wasting lot of time searching one particular bug or issue.

Asana

Asana functions particularly well in scenarios with well-established teams with well-established processes and a mature SDLC. The reason is that Asana can be configured to do many, many different things, and be used in many, many different ways, and with that power comes a lot of responsibility to figure out your process before you try and automate it. It's software, not magic.

Pros

  • Its billing & invoice feature worked pretty well for T&M teams. ActiveCollab version 5, the current version, allows you to directly track time to tasks using the Timer app and later create invoices based on those time entries. Their statuses will change through phases, as you are pending payment, or after they are set as paid.
  • Here cost can be easily assigned to each team member, Team members can start the timer after they start their work, then allows you to export the time records of team members making it easy to complete the billing.
  • File sharing feature is very useful for distributed teams as we can we can easily share files, screenshots.
  • Also ActiveCollab ability to connect to Google docs, attach images and link to web pages make it unique from other project management tools.
  • AC easily allows you to track your daily tasks & serves reminder if miss on the targets defined by giving daily / weekly reminders regarding tasks and any that have gone over due dates.
  • ActiveCollab is quite easy to use. With just a few clicks, you can create a new project.
  • The dashboard and options are easy to see and it is well laid out.
  • Here user have an opportunity to select the number of emails they receive from ActiveCollab and for some email providers, such as Gmail grouping is enabled. So rather than getting multiple mails, it send you a summary of all the daily notifications in one mail.
  • It allows users to upload several files at once on task comments, and if you are set with the owner role, or have the member role but are a project leader, you have a Batch Edit option available on project level. This allows you to edit multiple tasks at once and change all the details on them, such as assignee, due dates, labels, importance, and more.

  • A complete lack of even the most basic reporting is a source of ongoing disappointment and frustration. I would like to know, at the very least, how many unarchived projects I have. It would be extremely helpful to know how many incomplete tasks there are, how many tasks are being completed per day or week, or any of those things. Asana doesn't tell you anything at all about what is going on inside of it. Even the filter dropdown, which shows a number of matching tasks for each tag filter includes both completed and incompleted tasks even if you have completed tasks hidden in that view. We have been on Asana for over a year-and-a-half with absolutely no reporting whatsoever beyond what we tracked manually in spreadsheets. This is without a doubt the single most annoying thing about using Asana.
  • The project list is an unmitigated, unsortable disaster if you have a large number of projects. Going through it is an hours-long chore of scrolling down, clicking "More Projects..." scrolling down and repeating over and over. To make matter worse, the most recently entered projects always appear at the bottom, so if you have any open but delayed/stalled projects, you'll have to scroll past them to get to the items you can actually get completed. Since projects have no defining characteristics unto themselves that allow any sorting options, you are ever at the mercy of the search box to find anything in any reasonable amount of time, and that search box carries its own set of tiny migraine-inducers.
  • The search box is fast enough to function, but not fast enough that you can actually click on things before the results change again as it searches through more items that match your terms. No less than twenty times a day do I search for a tag or project, then click (or arrow key down and hit enter) on the tag or project I am looking for in the results list just as it re-orders itself, causing me to have clicked on the wrong result. Then I have to type my search all over again. The search feature does not work for archived projects, either, so the only ways to find them are to search for a tag you know might be on that project, or scroll all the way down to the archived projects list at the bottom of the main projects list and then patiently hunt-and-peck for them as you scroll further still.
  • The API for integration, unlike the web app itself, is painfully slow. I don't know if it is because it wants to pull down every project every time (including archived ones) instead of just the ones you are looking to access or what, but our dev team has had one heck of a time getting it to stay online and functioning. Our integration breaks down regularly, and that affects our photography dispatch report, our automated generation of new tasks when a sale comes in, and our fledgling reporting system (which seems to return only zeroes and ones). Some of this is on our dev team to fix, but I have to blame a cumbersome API for most of the speed issues.

Asana is great for how I end up using it. When a new project launches and I get busy, I can easily pick it up and begin using it again and as I get more time (or the project completes) I can drop it again. It seems to morph better than any other application to exactly what project I'm working on, what I need to track, etc. It simply fits into my life extremely well and I'll end up using it again every time I start a new project.

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

Alternatives Considered

Certainly, each of them has a particular advantage, which in the end makes it unique. ActiveCollab also belongs to a group of platforms created to be represented in particular, its way of project management is superior to JIRA or Trello. With this software, the work is more controlled and organized.

Honestly, the two listed are a bit different and are used for a lot of different reasons, but Asana has a very streamlined focus on project management, where as Dropbox and Google Dropbox has a lot of different uses that could include project management.
