Microsoft Power Automate

Our biggest use cases [for Microsoft Power Automate (formerly Microsoft Flow)] currently are integration between Sharepoint, Microsoft Forms, and our CRM. We have been able to use these three platforms and combine them with power automate to allow us to run approval on submissions, create document repositories for sales, and being able to handle a variety of HR needs.

Pros

Celonis

  • Provide big picture information and drill down to details, such as actors, cases, documents
  • Combine process discovery data with other business, e.g. controlling data
  • Great user interface
  • Unlike other products such as Minit or Disco, this tool is great at being able to directly enrich the findings with cost or revenue data
  • Easy to build and calculate critical process KPIs and demonstrate the findings to management (decision makers)

Microsoft Power Automate

  • Allow for important tasks, reminders and emails to be automatically redelivered and pinned for importance.
  • Ease of template use and flow wizard to help those unfamiliar with its potential.
  • Integrates across the entire O365 suite which makes the tool easy to access and little effort to deploy. Simple licensing roll-out is all that is needed.
  • Self-help knowledge base is very informative.

Cons

Celonis

  • May shed a negative light on employees for deviating from the desired processes.

Microsoft Power Automate

  • One thing is, unlike PowerApps, it's not for everyone. You need some technical know how.
  • Sometimes connections get broken and you might have to recreate the Flow, which can be a nightmare scenario depending on how big it is.
  • Cryptic error messages, I feel we could be given more info when a Flow fails.

Microsoft Power Automate (formerly Microsoft Flow) is very user friendly. It is mostly just click to add functions or connections and then fill in pertinent information to ensure that the connector functions the way that you want. I was able to create my first flow within minutes just by looking through the connectors and piecing it together.

So Microsoft Flow support for its general troubleshooting or correcting issues is excellent. But to my knowledge, Microsoft Flow itself does not have service providers, even though they offer templates on their online app. I have found myself many times trying to complete individual actions that have no known template or even forum example. Every business is unique, and Microsoft does an excellent job of providing versatile yet straightforward systems. Microsoft Flow is definitely on the more advanced side of things. Having support or being able to purchase superior service (on building personalized flows) would be great.

Alternatives Considered

Celonis

I have used the process mining software, Minit. Compared to Celonis, Minit does not allow us to enrich process data with other business data, but Minit is a universal process discovery tool. It can be further coupled with PowerBI or similar software for data enrichment. The reporting options and UX are far more advanced in Celonis, but Celonis is purely SAP HANA oriented.

Microsoft Power Automate

Nintex is well suited for highly big enterprise apps, it does come with its own cost and challenges as well.[Microsoft Power Automate (formerly Microsoft Flow)] is greatly suited for creating simple to medium workflows and automations that can be done at every department level not necessary by a core technical person.

Return on Investment

Celonis

  • Celonis has helped me get rid of unneeded steps within my sales process that have to lead to longer sales cycles.
  • Celonis has helped us identify areas internally where we are not taking advantage of cash discounts.

Microsoft Power Automate

  • It has pushed some degree of user support to the users who are closest to their own processes, and has allowed the burden of support to shift from ONLY IT to business groups for us.
  • There is a better chance for us to get support with a Microsoft product internally than anything else (Nintex, Oracle, SAP, etc...) because of our license agreement.
  • Time will tell how well Flow allows us to re-create the environment we had with on-prem Nintex and SharePoint 2016. It appears that it could, but it is too early to tell how easy adoption of a slightly more technically complex tool will be for our operating company, sister operating companies, and parent company.
