Dropbox

For my company, Dropbox was nearly ideal. The main problem was the price. Our IT department could not justify keeping it for all departments, so in the end it was only specific users or departments that were using it. This led to some inconsistencies within the organization, as different people shared cloud files in different ways. However, for my department's needs, Dropbox was essential. It was the only service available to us that was fast enough, reliable enough, and full-featured enough for our needs. It is excellent for both cloud-based project collaboration and cloud-based file sharing. For single-user setups, Dropbox may be overkill. There are cheaper or even free alternatives that may meet the needs of many users.

Onehub

Onehub is great for securely sharing or collaborating on files in the cloud. If you have teams that live in different parts of the country or world, Onehub makes it relatively easy to check out files and make changes to them in a secure manner. I think Onehub is good for small to medium sized businesses. I would like to see more enterprise management tools and more robust reporting before recommending Onehub for large enterprises.

Pros

Dropbox

  • Dropbox app can be installed on multiple systems, allowing for multiplatform access to files.
  • Dropbox allows for large files to be sent digitally [...] and has tiered pricing to fit any budget.
  • Dropbox doesn't have a time limit on [its] files like some other competitors, allowing for file access at your own pace.

Onehub

  • Bank level security.
  • Responsive customer service team.
  • Ease of use.
  • Clients love it.

Cons

Dropbox

  • Our repository has grown with time. Replicating the entire repository on a new machine takes a long time.
  • You can share with people outside of Dropbox. That can be confusing for people who don't use Dropbox.
  • It would be helpful to have better differentiation between personal and work files.

Onehub

  • Some movements of files and folders can be clunky.
  • Would like a feature like DocuSign for signing confidential documents (unless I just haven't found that feature yet).

Dropbox is a user-friendly, easy tool which requires little to no skill and they offer a free version with a good amount of storage available. There are other file sharing tools available however at a cost. Dropbox free version I have used for years and it serves every purpose I need.

Dropbox is dead simple to us since right out of the box, it creates a folder on your PC and anything added to it gets synced to the cloud and any other device signed into that account. You can then dive deeper into permissions, version history, etc. Overall though, the minimalist approach is welcome since not everyone we work with is highly technical and that itself saves us time and money. Many of our colleagues already use Dropbox for their personal cloud so no training is required when using it at work other than going over our own company guidelines and best practices.

Dropbox is really useful, you can access any file from anywhere and you can upload and even edit files online, but, sometimes it can be slow. Downloading, uploading, and syncing is a bit slow, it can take several minutes. Furthermore, the search engine for large amounts of data can be slow too and it is not powerful.

It has not been necessary to go to customer support lately, since everything works perfectly. However, I must add that at the beginning when I started using Dropbox, and I had any doubts about how it worked, customer support was always attentive and found the best solutions effectively.

Alternatives Considered

Dropbox

While Amazon Drive is frequently faster, it has less friendly user interfaces that our employees have difficulty understanding. Dropbox has a largely intuitive user interface that employees are able to use effectively. DropBox offered better customer support than AmazonDrive, which was another factor in making the purchase. Finally, more employees were already familiar with Dropbox (having used it in their personal lives), which made the transition for our business worthwhile.

Onehub

Some of our departments use Box for cloud-based file sharing, but Box doesn't have the same level of security that Onehub offers. We prefer to keep our most important and "toxic" data on Onehub because it offers much deeper level security settings.

Dropbox

  • Dropbox has a very generous free option. Once surpassed, the cost is relatively inexpensive, which makes it a low cost option for file sharing.
  • It allows us to easily share files with clients without needing to pay for other services that are email based.
  • It's wide usage and wide acceptance in the business world makes it easy to work with other individuals and companies, speeding up collaboration.

Onehub

  • Increased efficiency when dealing with externals and document review.
  • Provides peace of mind that documents are secure in the Cloud and that department wont leak sensitive information.
