Not sure, we tested another program, but they as well as P21 was just a basic out of the box limited version. You really can't judge a system unless you use it in the real world. They look great on paper, but when you need it to do something and it can't, it becomes an issue.

Good for distribution organizations with warehousing. Can also support both Accounts Receivable and Accounts Payable, although a more thorough Accounting package is recommended. Is strong when it comes to integrating bar codes and scanners, particularly for warehouse maintenance. Prophet 21 does include a basic CRM offering. However, it is very basic, and for any real Customer Resource management, a third-party tool is best (even recommended by Epicor.)

In the service series, there is a weakness in applying revenue recognition concepts which are a strong point of the project series. It is difficult to get a period sensitive WIP that could be recreated at any time for a point in time (fiscal period).

Pros
  • As an open database, Epicor Prophet 21 not only gives you access directly to strategic information, its interface makes finding it convenient and efficient while allowing the use of industry standard reporting tools to manipulate reports and data.
  • The Wireless Warehouse package has been invaluable to the efficiency of our warehouse operations. Inventory flow, picking accuracy and stocking effectiveness have all improved.
  • One of the most valuable features of Epicor Prophet 21 is its support staff. They have always been responsive and knowledgeable with a focus on solving problems. They show an understanding of how important it is to correct any disruptive issues in as short a time as possible.

  • Ability to add companies, and sub-accounts on the fly allows for the growth of the system without conversions, and flexible reporting allows for the quick utilization of the data.
  • Multi-Company allows for easy and automated data entry and reporting across multiple legal entities and business segments.
  • Multi-Company also allows for easy centralization of business processes (AP check writing and Fixed Assets for example), while spreading data entry across the enterprise.
  • Ability to Copy/Paste into Dynamics SL has always been a strength- especially from Excel. The additional power of being able to use Excel for a myriad of calculations, including complex allocations, and formatting the result into a JE to paste directly into the Journal Entry Screen has saved countless hours in data-entry, and made re-use of complex items very easy.

  • Too complex out of the box - way too many tabs and clicking for those who want simplicity and aren't computer savvy
  • Training - we have to seek out to solve our own problems; limited options for help or everything is an upcharge

  • When we have a lot of invoices rather than just a few large invoices, we can be frustrated by how long it takes Flexible Billings to generate a lot of invoices
  • It would be nice if Dynamics SL had an easy integration to some of the nicer salestax tools such as Avalara and CCH.
  • It would be nice if the fixed assets module and electronic banking were not third party.

Likelihood to Renew
I've used Epicor Prophet 21 for about 12 years (in various iterations). It started out as CommerceCenter by Prophet 21 then became Prophet 21 by Activant and then Prophet 21 by Epicor. So frequently, when a software company is acquired, it stops being great. That has not been the case with Epicor Prophet 21. Over the years they've been under Epicor, the product has just gotten better and better, with major extensibility enhancements and new mobile components coming online.

Unfortunately, Dynamics' lack of ability to smoothly integrate with our CRM system is causing us to look at other solutions. The efficiencies that we gain by using Dynamics for our day to day accounting are lost in the constant headaches of getting sales quotes to import properly into the system for invoicing. Another major issue for us has been budgeting and reporting. We currently do all of our budgeting and board reporting in Excel, which is too time consuming and inefficient, especially when a system as robust as Dynamics should easily be able to handle this relatively simple task.

Usability
Epicor Prophet 21 is pretty usable as long as you follow the exact procedure. Unfortunately where it doesn’t do too well are deviations from the standard procedure or if you require more information. Often we use business rules from 3rd parties to get what we need done eg. Apply tariffs by % and visible on customer invoices by line.

SL itself is relatively easy to use and most of the Help Files documentation is well kept and outstanding in the amount of information that is given. Most end users pick up the functions quickly and are off and running after some limited training. There will always be questions and research to be done, but overall SL is relatively easy to follow for a seasoned user

Reliability and Availability
When hosted locally, you don't have to worry about outages unless the power goes out and the battery backups fail. It can also be hosted in the cloud which is as reliable as your internet connection. There's really no concern for outages in the software by itself. Outages are controlled by external factors.

We have had only one unplanned outage for 2 hours in the last 30 months. We shut down for 30 min to 1 hour once a month, but that is for Microsoft OS updates to the servers. Being a 24/7 world wide operation, the reliability is really important. We do get an 8 hour window on the weekend that we can be down for a short period to install Microsoft Dynamics SL updates, but we do not have many of those. On our last version upgrade, we shut the users out at 9:30 am and were fully operational in less than 6 hours. The upgrade was New SQL server, New SL server and 2 new Citrix servers.

Performance
I do feel like there are some screens and reports that could be streamlined. Prophet 21 likes to load features all at once when going into a program but a quicker load time into order entry, for example, is worth having a little latency while a non-essential tab that doesn't get used very often is opened.

Support Rating
Many times, I am asked the same questions I already put in the case. Or am given a KB to look at that I've already tried. Or other times I do not understand what the technician is asking me to do so I will ask for help repeatedly going back and forth. Contacting us and setting up a call is easiest but sometimes the scheduling takes time and the case just sits there stagnant. They have usually solved most of my cases though

Many times support will tell you that your issue is an identified bug and will be scheduled in the future to be fixed in a future release. The knowledgebase has gotten worse in recent years and much more difficult to use. many times you can't find the error during the search

In-Person Training
The on-site training was great. I give it a 9 because the trainer was a chain smoker who had to excuse herself a lot to smoke. Kind of unprofessional. She was a very good trainer though.

Online Training
I had a great time with the online training. Most of the online trainings were live which meant you had opportunity to interact with instructors. I liked trying to derail them by posting funny comments to the chat window. The only complaint I had about these is they weren't recorded for later use. Well, another complaint is that they were sometimes too short.

Implementation Rating
The overall implementation is smooth. Prophet 21 sends someone on-site for as many days as you need them to step through the initial implementation. Data conversion is the biggest trick. Make sure you get help with that portion of implementation. Also, be sure to offer plenty of training incentives to keep people coming back for more training. A little money spent up front will save you tons of headaches later.

Just to let it take its course. The implementation for me once I became a part of my former organization was pretty seamless. Just get to know the basics and call the support team to ask questions if you need help on an issue, should they arise. They are ready, willing, and able to help!

Alternatives Considered
I found Microsoft Dynamics to be the best for customizing the system to fit the business needs. Cargowise and Synapse both had their limitations as found with P21. QuickBooks was also very limited in managing our revenue as we grew. We did try Great Plains and Peachtree (now Sage 50) and we discovered that they were rather complicated for our users. They were not as easy to maneuver and manipulate as SL and we felt that SL was much more "user friendly" and simplified, but still able to produce the same results.

Scalability
Prophet 21 is very reliable. The database is robust and well designed. The application is also hard to break. If there's one feature I don't like, it's that they haven't accounted for the dreaded single quote. That's kind of the bane of Microsoft SQL's existence. They need to escape that character in every field that will accept it in the system. Otherwise, the system throws all kinds of errors and many times will crash.

  • P21 user interface saves time and thus makes people more efficient by allowing customizations.
  • With ordering, inventory, customer information, and CRM all in one location it makes the need for other programs like goldmine become obsolete.

  • Dramatic improvement in our ability to judge the profitability of jobs.
  • Lots of improvements in delivering invoices and statements to customers.
  • Automated AP approvals and imaging made our last tax audit a breeze.
  • Ease of reporting data is a big plus. Financial statements with drill down capability are very useful.
  • One integrated system means less data moving around and more real time information.
  • EFT payments, email statements and live linked Excel charts have improved our efficency
