Newforma Project Center

Newforma is a great tool to collaborate with large teams and between firms. It allows for great documentation of transfers, activities, and other procedural aspects of projects that require collaboration between disciplines, for example, MEP, electrical, architectural and technology. For internal use, Newforma has been great for communications tracking and archival, as well as for record-keeping of all the users in a team or number of teams. Many great options are features are unused due to a lack of training or exposure to them, for example, the graphical viewers that can preview CAD, Revit, and other formats, or the markup tool available with the desktop client.

Probably not cost-effective for very small companies. It seems to fit mid-market very well. We have 3 companies with very different needs, and it was flexible enough to work well for us in each scenario. This included a company with 20 different unions and a non-union company. Payroll supported both. Consolidation of multiple companies was easily done as the data all resided in the same database.

  • Newforma sits on top of our previous filing system (Windows Explorer). This was very important to us because we didn't have to change the project numbering system in order to fit Newforma's design. Also, if we were to decide we didn't like it, we could easily revert back to our previous methods.
  • Newforma does a great job of indexing information, making searches much easier by being able to use keywords instead of knowing the exact file location. No more traversing through countless folders before finding what you need.
  • Newforma keeps a read receipt for everything that you submit through it for issue tracking, and keeps an easy to read record of your workflow.

Vista by Viewpoint

  • Time management for the foreman. They enter who is on job and what time. All on their iPad and we upload. It saves everyone time and its correct every time.
  • Receipts can be sent via phone or iPad and we can upload them to the system and attach them to their PO with no issues and makes it so easy to track and keep the budget under control not to mention hold everyone accountable for their spending.
  • Surveys and updated info requests can be emailed out, completed and returned via the cloud. Makes updates so much easier.

Vista by Viewpoint

  • In the payroll arena, occasionally some combination of actions will cause a Payroll Timecard Entry batch to become stuck in a Status 4 - Posting in Progress. Vista by Viewpoint requires that Customer Support be contacted whenever a batch is stuck in Status 4, as it is unclear what parts of the batch have posted to the other modules, especially General Ledger. Support is a whiz at untangling these situations.
  • However, a Payroll Timecard Entry batch does not post anywhere except its' own table - Payroll only posts to GL and other modules when the PR Ledger Update process is run. Support could conceivably allow customers to change the Status of only these batches, as no other modules would be affected. Then the customer could fix their problem and move on without further delaying the payroll process.
  • The User Interface in the Payroll and Accounts Payable modules have traditionally been clunky for non-accounting personnel to use. The increase in non-accounting people using some aspects of the system - for instance, remote payroll entry or project staff reviewing AP invoices - used to cause some angst. This has been greatly alleviated by the advent of the KeyStyle modifications in these two areas.
  • The functionality of the Service Management module continues to be added with each new update. It would be even better if Service could function more like Job Cost in the way of tracking costs. There seems to be a lack of commonality between the two modules - though it is getting better.

While I have never asked for support myself, a Newforma representative has been in the office annually to give training seminars and info sessions on how to fully use the product. I find this essential to keep the product relevant and make sure everyone knows its full capabilities and an important part of customer support.

Though I have not interfaced with Vista by Viewpoint's support team, I know my office has, and it seems like changes or issues are addressed or resolved in a timely manner. It also seems like the program has the flexibility to integrate or be changed to become a custom solution for our company.

ComputerEase was pretty old technology. Input screens were clunky. Application customization required consulting to get involved as well as report modifications. Utilizing some kind of proprietary database put all the maintenance back on the software manufacturer. Promises of porting the application to SQL Server database went on and on for multiple years with no progress evident.

  • Viewpoint has allowed the entire company to get on the same system and improve our internal tracking of costs which has been positive.
  • We have struggled with using the system on CM jobs so it has taken more time to do tasks or things have to be done outside the system to accommodate those types of jobs.
  • The ability to track things by customized fields have improved our ROI and have given us better insight.
