UpKeep is best suited when there are one or two staff managing it. Working with many staff and teachers, I’ve given up asking them to input work orders and often do it myself. The issues I’ve encountered in other people’s varying degrees of technical understanding and many times they give up if they, for instance, update their phone and can’t remember their login.

  • Tracking service issues - There's really no more excuses for not knowing when the machine was last serviced. Upkeep allows us to track that.
  • Scheduling - Knowing in advance which machines will need maintenance in the future allows us to actively prepare for shut-down periods.
  • General knowledge - Users can add their knowledge to the archives of each machine we have, helping to improve the trouble-shooting process.
  • Easy to update, easy to make - It's almost too easy to create and update files for locations, assets, parts, and issues.

  • It would be nice to have the ability to log work orders when service and or WiFi is not available.
  • Custom restrictions for individual employees. For example, let one employee add work orders while restricting others.
  • It would be nice to have a pre-mapped area that tracks time under a certain location. As in GPS.

I think the platform is user-friendly but there have been some issues that colleagues have been complaining about. For example, the program tends to run slow from time to time. Reporting could be better. We could use more fields for categories under parts and assets.

I cannot say enough great things about their customer service. From the start of the purchase, Upkeep was extremely helpful and informative. They have been ongoingly keeping us informed and available to answer any of our questions as they arise. They ongoing learning portal is also helpful when new features and changes happen with the interface.

It may be a larger challenge for the internal office workers to utilize upkeep. Often times when you're hiring property managers, maintainers, they may not be orientated towards technology. We can learn how to utilize something new if it presents a larger challenge. We want our staff on the ground, at the site to spend less time wasted on sorting out software and more time taking care of our properties.

  • The most noticeable improvement has been to track tooling inventory and expenses. We used to just have bins full of parts, with no real way to track which parts we actually used/needed. I can now make a pretty good guess as to which tooling I should stock, saving a small fortune in unused inventory.
  • Tracking how much breakage/downtime each machine has will greatly help us determine where to spend on upgraded/new equipment. They used to buy new machines because it would be neat to have, now I can quantify how much in repairs and downtime we spend on each machine to help determine upgrade priorities.
