Use Cases and Deployment Scope

My agency uses ClickUp for internal and client project management. We integrate with Jotform for "ticket" submissions that flow into ClickUp, and Zapier for advanced task notifications. We also leverage ClickUp's Dashboards for advanced reporting, and Docs to maintain our internal Wiki. Compared to other PM systems we've used and considered using, ClickUp is by far the cleanest and simplest.

ClickUp is well-suited for small- to mid-size teams looking for a clean, easy-to-use project management system. Additional features such as Docs, Whiteboards, etc. are also a good value add for smaller teams. I wouldn't recommend ClickUp to a larger organization, as the system frequently lags when there is too much data, and it is lacking some advanced features that larger teams are likely looking for.

We are an injection moulding company, we use ClickUp to manage all of our parts/tools from beginning to end, we have set up a bespoke process flow and templates that enable all areas of the business to complete, feedback and monitor parts as they go from quoting to production. We have around 100 projects live at any one time, ClickUp helps us to avoid missing deadlines and providing our customers with a great service from start to finish.

Well suited to; improving project flow and helping to formalise process, keeping project data/history together in a coherent form, allowing various different teams/departments to collaborate on projects.

Use Cases and Deployment Scope

We use it in two ways - for Product Development, to report tickets, see the status of tickets, comment and collaborate on features and bug fixes. And for Project management - that's where we store our OKR projects (in lists), and also we have ClickUp lists for meeting Agendas. Basically, for all kinds of tasks and to-do tracking, we use ClickUp in some way. Part of the people use it a lot, part of us only use 1 or 2 features.

Making new lists and new teams

Cons

My Tasks section - is hard to understand how to use it
Creating my own workflow with task reminders and postponing tasks
Lists that are easy to oversee without every time re-selecting the view

Suited if you already have some knowledge what you would like to create, or if someone sets it up for you. Harder if you need to build something complex for yourself, the amount of extra features can be a bit challenging. Also it's not so easy to see what you should work on, what are my own to do items.

In our organization, we use ClickUp to manage all the projects associated with our clients, their respective tasks, and assign each one to team members. We meet internally once a week to review our entire planning using ClickUp as our sole tool.

Simple to use for a moderately advanced user or someone with experience on other platforms. A steep learning curve for users less familiar with this type of platform. Many hours of training are required. This is our case.

Use Cases and Deployment Scope

We use ClickUp mainly as a project management tool. It helps us keep on task, be aware of deadlines, track activity and progress, and plan for the future! I mainly use it for project planning purposes, using Gantt charts to chart the way forward for my team. But I also use it to keep tabs on my own tasks so I can document what I'm spending my time on.

Pros

Extremely customisable fields, statuses, stages. Really easy to tailor to the business' needs
Intuitive and useful features like dependencies and automatically adjusting tasks that are linked to one another

Cons

The gantt chart view only zooms lengthwise. It makes it a little tedious to see tasks vertically

Likelihood to Recommend

ClickUp is very well suited as a project planner as it was likely designed as one. It's highly customisable in terms of the fields and views, which makes it flexible in different departments. However, it is not so suited as a CRM tool for sales teams when they need to track leads.

It encompasses all resource requests for our projects. We use this data to efficiently plan the workload out on an external program.

From here on, we can plan the projects properly. Creating projects using templates and assigning employees to projects they were previously requested for.

As an Operations Manager, I work with every department within my organization and many different stakeholders and third parties. ClickUp is a crucial tool that helps me to keep track of projects, their statuses and also to collect all of the communication that I have with others via email, Slack and on the Google Workspace.

The dashboard cards could be robust
Automations could be easier to set up
User interface is a bit cluttered and it is sometimes difficult to locate tools and functions

ClickUp presents a high learning curve, but it is worth it! Another department at my organization uses Monday.com and I have an account there for the work that I do with them. I find that it is very limiting in regards to the features available when compared to ClickUp. It is so easy to build projects and tasks that reflect your workflow in a comprehensive way in ClickUp. And it integrates with other tools, such as your Google Calendar, Slack and Zoom, in ways that helps so much. It really is a crucial tool to have as an operations or project manager.

I primarily use ClickUp for managing tasks related to client interactions, content creation, and administrative duties as a virtual assistant business. It has helped me keep organized throughout all my areas of work. From client management and collaboration, to content creation, admin tasks, and project management, ClickUp has been a daily tool for me for almost two years now. Overall, ClickUp serves as a comprehensive platform for me to enhance productivity, manage tasks efficiently, and deliver exceptional service to my clients. I went through all of the other task management softwares out there and no other tool compares to ClickUp!

Sometimes when click on task from the calendar view on the home screen they won't open after 1 or 2 tasks that I've opened and tried to make edits on. I have to click on dashboard or other screen and go back to home for it to be able to work again.

Likelihood to Recommend

I have recommended ClickUp to all my clients who need help managing all their tasks. Especially those working for multiple clients. I've seen clients struggle keeping themselves accountable with Asana and Notion because it's not as intuitive as ClickUp. You can manage everything from the home screen without the need of feeling overwhelmed and losing time clicking into different lists, tasks, and subtasks. And the reality is so many of us stop using task managing tools because we feel they stall our workflow. ClickUp makes it so easy to update any existing tasks and view only what you need at any given time. Or if you need to create a new task you can do so really quick without having to spend 5 minutes finding the correct list or main task to put it under. I can't think of a scenario where ClickUp would be less appropriate. If you know how to set your workspace up or seeking help from the ClickUp experts you're setting yourself up for success with ClickUp.

We use ClickUp for our business for everything from lead and sale management, through to tracking tasks required for delivery of our services, internal team communication, content creation and management, team management and everything in between! ClickUp allows us to make sure we deliver exactly what we promise to, allows us to take our really big ideas and using ClickUp AI break these down into smaller actionalbe tasks that allow us to roll these ideas out. Bringing out team communication into ClickUp chat has allowed us to remove other tools from our tech stack and unite everything into the one platform.

Pros

Project management - everything we need to onboarding, deliver services and offboard our clients
Team communication - no more emails back in forwards, instead we have simple channels for everything our team needs to discuss
SOP Management - using ClickUp docs for our standard operating procedures and combining this with the AI has created a great knowledge management system meaning our team can get all the answers that they need, when they need them.

Cons

Calendar - while the new calendar is a great start, being able to schedule things across multiple calendars would be amazing.
Capacity planning - being able to tell ClickUp eaxctly when hours estimated on a task are going to be done so we can clearly see where our team is at. For example, at the moment if you have a task start on a Monday and due on a Friday with 10 hours time estimated, ClickUp automatically splits that time between the 5 days which isn't accurate as the team could be spending 8 hours one day, and the rest of the time across the other 4 days.
Budgeting - it would be great to be able to allocate costs per hour against team members and for projects overall to be able to look at the financial side of the work that we are doing.

Likelihood to Recommend

I find that ClickUp is really great for service based businesses and those needing a way to manage internal team tasks and marketing content.

I find that it is not so suited for people who need really detailed task financial reporting (such as costs per team member) or time reports.

ClickUp is packed with features and is super flexible, which makes it a great tool for managing my various projects and staying organized. That said, figuring out the best way to set it up for your specific needs can take some time and thought. There's definitely a bit of a learning curve, but once you’ve got it worked out, it’s a game-changer. It helps keep everything on track, streamlines workflows, and makes managing tasks way easier.

providing a daily to-do list on the home screen
giving me a place to drop all my notes about phone calls, research, etc, where it's easy to find again when needed
video clips so I can record my screen to show my clients how to do things

Cons

I wish the tables had all the functionality of a Google Sheet
I wish there was a chat feature to ask quick questions to a ClickUp customer service person

Likelihood to Recommend

Once ClickUp is properly set up, it's a great tool for keeping track of anything from work to personal life. I wish I could get my husband to use it with me for our household projects.
