It's supposed to make booking travel easier, it doesn't.

  • Prejudice - suspect classism and racism unless it's just ignorance.

No scenario where it is well suited.

Not a usable service. No ability to book connecting flights. Can't find specific chain hotels that are in the area. Either prejudice or ignorance on naming convention.

Basically not appropriate as a corporate booking system.

Egencia is being used by the United States teams to book travel. The Egencia tool is also used for United States employees' to manage and submit their expenses.

Egencia was used by my company to plan and organize all corporate travel. I worked with several executives to plan their travel through Egencia, including car rental, hotel, and flights. It helped because the executive was able to enter their information in their account and then set me up as an administrator. I didn't have to worry about entering their information, the system would automatically populate it from what they entered.

Pros

  • I have very few good things to say about Egencia.

Cons

  • Customer service was awful. It was a running joke that when we had to call customer service for something (frequent), it was a crap-shoot whether we were going to get someone that knew what they were doing.
  • The website was not intuitive and sometimes made it difficult to find the flights we wanted. Most of the admins resorted to looking for flights on other services and then searching for that flight specifically in Egencia.

My experience with Egencia was terrible, across half a dozen admins. We had a running document of issues that we kept because there were so many. There were flights that didn't book properly and cancellations that didn't go through even though we spoke directly to a customer support agent, executives not getting their points for flights or hotel stays and getting charged for calls that were required by Egencia's system to book a trip. Frankly, they have some terrible customer support agents (not all, I did speak with some perfectly lovely and very competent ones, but it was 50/50).

We are still in the beginning stages of using Egencia, as we are the first affiliate of a global company to initiate this program. We believe it will centralize travel bookings, receipts, etc. in order to make travel easier for our associates/employees and also allow us to gain more knowledge of how our team travels/see where we might have more negotiating power when it comes to the different carriers (airlines, hotels, etc.).

Pros

  • Building complete itineraries
  • Tracking group travel

Cons

  • Making sure seats that are booked are correct/not changed.
  • Making reservations that gain points/status are more clearly defined.

Likelihood to Recommend

Egencia is not the best for basic economy flights; they are not displayed. It is good to centralize/link itineraries and receipts, especially for multi-city or international travel. Being able to see bookings for groups of travelers is helpful as well.

  • While in a users trip you are unable to click to see the profile.
  • It should advise you before you try to pay that the trip is not available.

Egencia is being used for corporate expenses. Everyone employed in the company in need to expense travel, business meals, phone bills, internet, and others would do it directly through Egencia. It was used through the entire company and helped streamline the approval process from employee to direct manager, then to the finance department.

It was really well suited for me to download my phone bill directly with a picture where it was capturing amounts and information directly from it. It was really easy to submit my expenses and get reimbursed in a timely manner by my company. A scenario where the app crashed happened but this is purely technical.

Our company is using Egencia to easily book corporate travel for internal meetings (ie. kick-off, training, etc.) and external meetings with prospective and current customers.

Pros

  • Booking flights and hotels.
  • Trip approvals.

Cons

  • Accessing a customer service representative during trip cancellation or interruptions.
  • Approval process is confusing (ie. understanding if the trip is officially booked before sending the calendar invite).

Egencia is great for corporate teams that are looking to easily manage and book work trips. This tool gives leadership insight into trip bookings and approvals for a budget. The tool gives sales reps the autonomy to choose hotels and flights that work best with their preferences and schedules based on the allocated budget from leadership.

In my company Egencia was used across the whole organisation. Each of the employees was booking hotel or transportation via Egencia website for every business travel. We were doing it on our own by logging on the website, searching for the options we were interested in and confirming our choice.

Pros

  • Wide portfolio of options
  • Good prices for services
  • Sufficient details about the options

Cons

  • When there were problems with flight (cancelled / rescheduled), Egencia was not helpful to clarify it with the airline
  • Different availability depending on the region you are logging in from

Likelihood to Recommend

Egencia is well suited for companies with many employees who travel often for business and want to provide flexibility to the employees on various accommodation and travel options. If you want to allow your employees to make their own choice in terms of travel that is the tool for your organisation.

Egencia is used across our organization to book travel for all travel in Canada and in the USA. It helps us track all travel in one system and we know where our staff is. We use it to book flights, hotels, and rental cars online. They also provide support if our staff have issues with their flights.

Pros

  • Intuitive to use - similar to any other travel booking site.
  • Being the go-between between the traveler and the air provider.
  • On the homepage, there are travel alerts. It is a one-stop-shop for travel bookings and planning.

Cons

  • It would be nice if they would include the ultra-low-cost air providers.
  • If you need to cancel a flight and get a credit issued, it is very complicated to understand how they calculate the credit and then to use it.

Likelihood to Recommend

It is well suited for a corporate environment where you aren't on a strict budget. If you are a non-profit and have policies about using low-cost providers, then it won't be ideal. It is well-suited for organizations who need to book flights, hotels, and cars. It literally takes 5 minutes to make all those arrangements. I don't believe it is the greatest for booking international travel.

We use Egencia for all of our employee travel bookings. We book Hotels, Flights, and Car Rentals through Egencia. It is primarily used within our sales and marketing department, who tend to travel more often, but it is available to all employees should they need to book travel for training, conferences, or other business related travel. This helps keep track of expenses and also get the proper approvals from managers and the financial department.

Pros

  • Egencia is an all-in-one booking tool so you can keep everything in once place.
  • Egencia works with SAML, so it's easy for users to get set up and logged in.
  • Egencia helps keep things in order by preventing bookings without the approval of managers. This can help keep costs low as well.

Cons

  • Technical support has been hit or miss. It can take days to hear back from anyone.
  • There have been some glitches in the software that prevent an approved, booked hotel or flight from being seen by the user, or different hotels show up with the same search criteria. A room shows as available, and then when you try and book it, it's no longer available, only to be available again, and then you are able to book it. It hasn't been entirely dependable.

Likelihood to Recommend

Small to medium-sized companies that are growing, where travel happens a lot with a lot of employees, being able to effectively manage travel arrangements is where Egencia's strengths are most noticeable. The cost of the service might not be justifiable for small companies who don't travel very much, or where not very many people are traveling.
