We use Oracle in conjunction with a large General Contractor we do work for. The General Contractor utilizes their services for Contract management and progress billing applications as well as Document Management. We have regularly used it for progress billings and contract document management for a variety of projects we work on.
Pros
Contract Management.
Progress Applications.
Document Management.
Reminders
Cons
Document Management updates.
Frequency of Password changes.
Project Administration.
Likelihood to Recommend
The ability to facilitate contract documents, update billings, submit applications and back up is quite sufficient. There are some glitches in the regularity of requests for additional documentation or required document expiration dates, however, notifications are provided and corrected as needed.
We use this product to pull information from our other reporting platform such as Hubspot, to drive the vast majority of our information and sales process. This product has simplified and automated a once complicated procedure for our company. This pulls in data from our company CRM and shoots off-invoice directly to our customers. It also allows us to set our clients up on automated subscriptions for our products without having to do a single thing (except make sure the data input is correct). This has truly aided in transforming the way we work.
Pros
Simplifies Data.
Inventory Management.
Account/Billing Driving.
Cons
Bulk Editing Feature Needs Tweaking.
Complicated to learn for the non-tech savvy.
Could use a bit of a facelift.
Likelihood to Recommend
It is well suited for the up-and-coming business looking for a data management and account tool that will help their business excel and minimize user errors. Implementation takes a while when migrating data from a company CRM, but once this gets up and running, it's a powerhouse for any workplace.
Besides the top layer or 2, our entire PS org uses OA for time tracking, invoicing (with NS), forecasting time & revenue, and staffing. This org, plus our subcontractors is around 450 active users. A number of our critical processes tied to billing customers, tracking project progress, etc relies on OpenAir. We also do a lot of reporting (which I head up) out of OA with regards to utilization, billable hours, non-billable hours, etc
Pros
It does the very basics of a PSA tool (time tracking, connecting with NS for invoices) relatively well, but the UI still leaves a lot to be desired.
The integration with NetSuite is easy and fluid. This is the main pro of OA.
Cons
The UI of many parts of the system is really poorly designed. Inputting and updating forecasts is a very time-consuming and difficult process for our PMs and it doesn't allow any type of upload from a spreadsheet (which might be easiest in absence of a decent UI).
I have extensive experience with the reporting piece of OA and have a list of notes and improvements. The entire module is very inflexible at least pieces of it are not intuitive. Easy example: If you create a custom calc with a filter on Project Type to only include hours from our customer projects (Impl and MS), but then create a report with a filter to only show hours from MS, that custom calc won't work properly. The filter logic is unable to handle multiple filters on the same field.
Specific example of a ticket we've filed but not heard back on: When you close a project, any remaining forecasts from that project remain active and show as "committed hours" against those individuals which doesn't make sense on projects that are closed. Why would you not give an option to delete any remaining forecasts when closing a project as default behavior?
Likelihood to Recommend
Our users complain about many aspects of their workflows within OA and the tool is not flexible enough for me, as part of the Admin team, to accommodate their requests. Reporting allows you to get the info out of the system, but except in rare circumstances does the reporting display in a useable way in OA. I recommend to pretty much everyone to export their data to a PivotTable friendly-format (which is something that doesn't happen by default but must be selected on each report individually) and then use pivots to display the data how they need it.
We currently use OpenAir for resource management/project management and time tracking purposes. Mainly our Integration/Project Management groups primarily use it. It saves a lot of time for our business pursuits for the professional services department.
Pros
Create and Mange Projects
Time sheets and Time Tracking
Resource Allocation
Cons
Outdated UI
Not intiuitive
Better best practices
Likelihood to Recommend
It is a straightforward project and resource management platform. It is easy to create and manage projects.
It is a little bad for billing clients so we use a different tool to integrate that.

OpenAir is being used as a full PSA tool to track & schedule resources across our PS organization as well as fuel finance to bill clients. It solves resourcing, scheduling, skills management, moderate project management tasks, revenue recognition, PS reporting, and external billing.
Pros
Tracking and scheduling of resources to projects. Shows decent availability views.
Skills matrix and comparison tool, allowing leaders to compare resources to help with resource selection.
Provides a one-stop shop/tool for resourcing, scheduling, time entry, billing, and reporting.
Cons
You can't book resources at the project level, you have to book resources at a resource level.
You need multiple screens open to get all the views you need to make adequate resourcing decisions.
Availability views and clunky, require intense filtering.
It's not a great Project Management tool, it provides the basics like time entry & the ability to build out basic project plans, some budget reporting.
Likelihood to Recommend
It's well suited for smaller PS companies, that have minimal project complexities, and can integrate easily with many applications. It's completely customizable to fit specialized service companies. You need developers that understand this tool inside and out.

Our company uses NetSuite OpenAIR PSA for Time Tracking and Project/Resources Management. All projects are set up in the system and the project teams are defined by project managers. Each project has a budget and controlling it is something that is done with OpenAIR.
Previously we have used a custom application built by us to track the time spent on projects by the team members across the organization.
Pros
Time tracking - OpenAIR covers the corner cases as well, like when end of the month falls in the middle of the week and people are require to submit the timesheets for the current month only
Project management - using the project team, assigning tasks and using the existing reporting can really help a project manager in doing his/her job
Reporting - many built-in reports and the ability to create custom reports.
Okta integration - very helpful for single sign on, especially for cloud applications as OpenAIR
Cons
Email notifications - as a project manager I need to be notified whenever team members submit their timesheets so I can review and approve/reject. Currently these notifications are a little more difficult to be set up.
Reviewing timesheets - whenever there is a list of hundreds to be reviewed and approved, I find it quite difficult to do that in a timely manner. Going one by one is needed but the information to be reviewed is not standing out, like team member name, project and task, hours. Not sure if this is possible through configuration or not.
User Interface - in many parts of the UI there is a usage of a popup window that displays way too many options. Some functions are only accessible from that popup. To me, this is something to be avoided/improved.
Likelihood to Recommend
NetSuite OpenAIR PSA is well suited for time tracking and project/resources management. This is what we use it for and it does it well. As it happens with such systems, it is as good as the data it has, so if the team members are not entering their hours, it can be useless. Some mechanisms to notify/"force" users to enter their data will always help.
Netsuite is used across the agency for tracking expenses, managing purchase orders and invoices, as well timesheets (including managing vacation requests). Certain teams, i.e., those that manage client budgets, are more broadly using Netsuite, but organizationally, Netsuite is a valuable tool for managing time and expenses, including utilization reports across internal departments and teams.
Pros
Ease of use for time management
Ability to access remotely via the web & mobile app
Easy to use to track job numbers & personnel assigned to projects
Cons
The robust interface can be overwhelming
Lack of training
Ability to hide modules & sections not used by the teams
Likelihood to Recommend
As a growing company/agency that is striving to reach a broader scale, Netsuite is a good tool to manage a broader team and a team that sits across multiple offices. Internally, we see the most value from a budget, expense reporting, personnel management and time management standpoint (including monitoring time off and billable project hours).
OpenAir is used by our organization to track weekly time tracking for our consultants, manage and submit travel expenses, and to forecast monthly bookings for our resources.
Pros
Very easy to view and change resource bookings to forecast how booked resources are at any given time.
The mobile app of OpenAir allows for team members on the road to easily submit travel receipts for expense reports.
The time tracking section is straightforward and easy to use for all departments.
Cons
The bookings calendar seems to want a Monday-Sunday style approach for long-term bookings. This makes it challenging to see how booked someone is on one day as the default view tends to prefer 'week' views.
The mobile app sometimes shows a receipt was attached and submitted even though the final report comes without the receipt. Improving/correcting this would be wonderful.
Likelihood to Recommend
Businesses with 50+ users can benefit from being able to see how booked resources are at any given time as well as providing an all-in-one tool for time tracking and expense logging.
Our organization uses OpenAir to track billable and non-billable time for our team. We break it down by projects, clients, etc. OpenAir allows us to know exactly how our time is spent and where. It helps answer questions such as, which clients, roles, projects are taking more time than others? We use this kind of information to help determine SOWs and more. We also use OpenAir for project management purposes, as well as expense tracking.
Pros
Time tracking.
Project management.
Expense reporting.
Managing PTO, days off, etc.
Cons
Like other time tracking and project management software, OpenAir does not have the cleanest interface. Would love to see something cleaner and more succinct.
Search options are incredibly frustrating. Searching for projects is one thing, but if you trying to find a timesheet you've or a PTO request you've submitted, it can be almost impossible to find what you're looking for, even after adjusting to the right search parameters.
Likelihood to Recommend
OpenAir is right for your organization if you want to track time and expense reports and need a project management solution. OpenAir can help determine the appropriate resourcing your organization needs.
OpenAir is not appropriate if you don't know your goals when it comes to resourcing. I would suggest determining these goals before digging into OpenAir, so you can make something of all of the data it accrues.
NetSuite OpenAir PSA is being used for services billing, resource management, reporting, expenses and project management.
Pros
Tasks Management and timesheets are pretty well designed and straight forward to use.
Expense entry and reports are solid.
Invoice and billing integration API is understandable and easy to use with other systems.
Cons
Speed, we have been seeing slowness often in the last six months, so they need to optimize their system and connectivity.
Increase number of records that can be requested at one time. Today it's limited to 1000 and I know it is negotiable, the default I believe should be 5000+.
Provide connectors to various ERP/CRM systems, today it is limited to a short list of systems.
Likelihood to Recommend
It is well suited for resources and tasks management; I guess all functions NetSuite OpenAir PSA has today are all appropriate.
