Use Cases and Deployment Scope

I work within state government and Square 9 Softworks offers great application services for our filing services as well as network and application support to ensure all of our services are working to please customers internally. On the other hand, when problems arise within the applications, the customer service IT team is very helpful with providing solutions and updating services for better streamlining.

Square 9 Softworks provides amazing customer service for internal issues that arrive.
Square 9 Softworks applications are working very well to support our internal staff.
Square 9 Softworks app called global search loads fast and processed filings fast.

Cons

Service desk hours are bad for me because of time zones.
Logs and amounts of data sometimes contribute to lag.
Regularly communications and application check-ups with internal liaison would be helpful.

Square 9 Softworks is really good for internal and external filing services. Square 9 Softworks is also an application that can be utilized for databases to store and extract data. If the volume of your filing isn’t heavy or on a day-to-day basis then I wouldn’t recommend Square 9 Softworks.

Use Cases and Deployment Scope

Square 9 Softworks allows us to better organize our documents, over 750k in about 3 years, making them easier to access and recall. It also helps us reduce our cost as well. We have about 50-60k per year by using this platform.no more stacks of paper all over the office.

We use Square 9 Softworks to store our financinal contracts after they have been reviewed and stored for easy recall expecially when state regualtors do their annual review of our business practices. Pulling each of the contracts by hand is a very labor intensive process that we heavily rely on Square 9 Softworks to do for us now.

I think there is room for improvement in Square 9 Softworks because, in our experience, RFPs sometimes you can't add forms to Square 9 Softworks.
In my opinion, there is room for improvement in Square 9 Softworks because I think that if the PDF is not the right size it should reject it

If asked, I think I am likely to tell a colleague that with Square 9 Softworks sometimes RFPs don't go through all the way. glitch in the system.

Global Search and Global Capture are used as a digital document archive. Documents are scanned to the system for manual review and auditing. Additionally, the system compares documents received against a list of documents expected to ensure completeness

Pros

The system works very reliable
Amazing, friendly and very skilled tech support
the Customer Relationship Managers are very understanding and forthcoming
The project teams are highly engaged and make projects go seamlessly and well

Cons

As an organization, I have nothing to ask for
It would be nice if Global Search had an address book feature that can be used for email notification
It would be nice if the archive had a similar audit trail as SharePoint where you can not only see who and when something was changed, but compare old and new value

it is amazing to really archive documents and when extracting data from highly standardized documents. Absolutely, the go to solution for Invoice-processing.
I would not use it to managed working versions or draft versions of documentation. It probably can be used for it, but as for a collaboration platform I can see other solutions being stronger and better suited

We use this program to handle a ton of information across different departments. We use it to improve workflows, efficiencies, and to help manage large amounts of data. It's good because multiple people can work in the same "sandbox" and make adjustments and complete work efficiently.

Document storage has bene the best use case for our systems. We haven't found a system that we've tried that wasn't a good fit. They have decent workflow systems, but I think there are other options that may be preferable depending on the complexity of the workflow.

Square 9 addresses our need for efficient invoice processing and organized document storage. On the AP side, invoices are captured, coded by AI, and routed through approval workflows automatically. Once configured, the system runs with minimal oversight. We also use it as a document management solution where AI-assisted indexing keeps files organized and accessible. We moved to Square 9 after our previous platform failed to get off the ground with our complex requirements.

Pros

The system accurately identifies vendors and applies correct account codes without manual lookups.
Easy to build and adapt workflows to fit specific needs. Once configured, they run reliably without constant oversight.

Cons

When a document gets lost or misrouted, it can be confusing to troubleshoot and get it back on track.
Better visibility into where a document went wrong in the workflow would help resolve issues faster.

Likelihood to Recommend

Great for automating invoice processing where you want to set it and forget it. Also works well for document storage where you need things organized and easy to find. If you have complex requirements and need flexibility, this platform can handle it. Not ideal if you expect a lot of exceptions or manual intervention since troubleshooting misrouted documents can be tricky. Also not the best fit if you want something that works out of the box with zero setup. You get the most out of it when you invest time upfront to build workflows.

We use Square 9 Softworks mainly for invoicing and approval. The ability to quickly scan in documents and do OCR on them to properly identify the fields on the scanned documents is a big time saver. We are looking forward to any improvements in the process but so far it's been great.

Square 9 Softworks works great for doing workflows and automation. Where we setup rules for how invoices are handled and the approval process. Emails are automatically sent to the right users and reminders as well. This part works great for us.

What we would like to see are improvements in the indexing process. Although it works really well, I think some modernization in how indexing is done would be nice.

Use Cases and Deployment Scope

We use Square 9 Softworks for data storage and retrieval. All of our invoices and cash receipt records are scanned using global capture and are stored and able to be queried and retrieved in global search. We process hundred of invoices weekly and have no room to store them on premises. We frequently need to refer back to invoices for pricing and delivery information. Global search makes this possible and does it very efficiently. I look forward to seeing the software continue to develop and become even more detailed and accurate with searches. It did take a bit longer than we expected to get it up and running, and it is quite pricey, but overall it is a good product and fills our needs.

a couple of the index fields that we use to search do not work as well as others
the filter function is a bit confusing
price of software

Software is well suited to handle a high volume of information with many search indexes. Some of our documents are quite large (11x17 or larger) and it is not easy to get them scanned and into the system.

We use Square 9 Softworks in a variety of Business Processes. Ordering Equipment, customer satisfaction surveys, warranty repairs, and warranty submissions we utilize GlobalForms. Within GlobalCapture, we submit delivery and acceptance paperwork, and accounting paperwork. It extracts data off the pages and pushes the documents and data to GlobalSearch. Using GlobalSearch, we store all of our records for long-term retention. Using GlobalAction, we introduced workflow to enhance our processes without manually email people to get business decisions done on time. We use every aspect of Square 9's platform to enhance our business.

Scan, Search, Retrieve - GlobalSearch does this well
Capture workflow, extracting data- GlobalCapture does a great job
Webforms, getting data and placing it on company PDFS - Globalforms does an excellent job.
Process workflows, being able to see where the document is in the process - GlobalAction does a great job.

Cons:
Not being able to share documents with people outside the organization.
Legal vertical - Square 9 isn't the best fit, Lawyers like folders
