Use Cases and Deployment Scope

We use both the EMR and RCM services for our company. The EMR has always been very therapist friendly with functional options that help reduce documentation time. The RCM allows the billing to be all inclusive with the EMR and keeps the workflow happening quicker for the turnaround for payement.

Pros

  • Wide variety of functional options
  • Support staff is always friendly and helpful
  • Documentation is user friendly for the therapist

Cons

  • More direct access to team support members. Hard to always have to go through a call center
  • Less outsourcing for the billing solutions. So there are not so many different people dealing with your account.
  • As a client I would like to be less involved with payer portals

Likelihood to Recommend

Companies who do not have dedicated front office staff to manage the communications and everyday processes of WebPT may find it harder to find the time to be as involved as WebPT requires (for FileZilla/Reports etc)

We use the platform for use of billing and documentation within home rehab therapy. Having everything located in one place has been helpful along with the supporting when there has been an issue. The system is easy to use and offers a quick and easy work flow to maximize our time within the office

Likelihood to Recommend

Use within a smaller practice is great and helps keep everyone organized and on the same page. The messages are a great way for our company to communicate since we don't have an office space and see each other every day. The way that we can use the in platform therabill to directly connect with insurance companies eases the billing process

We use WebPT for both EMR and RCM. We switched to WebPT last May and both the EMR and RCM teams were wonderful during our switch. Both systems are OT/PT specific, which helps our business stay in compliance with all insurances.

Pros

  • Has helped our business during an insurance audit
  • Charges go out quickly
  • Payments are posted quickly

Cons

  • Hard stops when a POC is ended, not just Medicare
  • EMR hard stop when 10th visit/30 days in due, not just Medicare

In my opinion, WebPT is not the same as it used to be. For me, this system has many issues, including extended lag time, frequent downtime, and inconsistent reports. I have submitted concerns about switching systems, but they are trying to keep us in contract. Unfortunately, it is challenging for me to run a business when your missing notes report is incorrect, your accounting is incorrect, the information doesn't transition over to the billing software, the information doesn't always save, and more. I think there are better systems out there, and I would not recommend this system now.

Pros

  • It allows you to have multiple charts open at once.
  • The standard assessments calculate your scores and allow you to have the patient fill the assessments out in the system.

Cons

  • Customer services, you have to wait for call backs.
  • In our experience, Reports are inaccurate.
  • In my opinion, Templates have too much information with redundant information.
  • In our experience, information doesn't carry over consistently.
  • In my opinion, Accounting and billing for the system is horrible. In our experience, making payments and tracking payments are inaccurate. To me, it seems like you are dealing with two different companies because, in my experience, they don't communicate.

I have lost money because of the system during an audit. Information did not transfer over to the reports submitted. I think the standardized testing function is good. In my experience, the accounting department is inaccurate. In our experience, they don't send proper billing for you to pay, and you can't trust how much they tell you to pay. Newer systems don't lock you into contracts, but WebPT does. In my opinion, customer service is poor, and, in my experience, they make you feel that their issues are user error. In our experience, they have you problem-solve the system and run schematic checks.

We use it as our EMR. We do scheduling and billing.

Pros

  • User Friendly
  • Great access to help articles and directions
  • Streamlining front end work

Cons

  • Separate cost for every little feature is frustrating
  • Flow from one screen to another that you need is not always simple
  • providers would like to be able to see past notes with one click.

I think that WebPT is great if the office can afford it and they are very aware of what the additional costs will be with any add on services like MIPs reporting or any other feature that is often included in other EMRs for free .

We utilize WebPT's documentation and billing software for our Speech Pathology practice. There are limited EMR's that support Speech Pathology and provide add on features such as billing and AI supported documentation.

Pros

  • Sales process is very thorough and explains all services clearly.
  • Course that train on each component that you purchase are easy to follow and understand.
  • Friendly Staff

Cons

  • Once the product was purchases, I was not contacted. After 2 weeks, I contact them to get the process moving.
  • Poor support by my lead consultant. Missed meeting, poor follow through. I ask for someone new and the manager acknowledged my request but did not follow through.
  • Training and documentation lack SLP specific content.

Likelihood to Recommend

WebPT is well suited for PT's for documentation. With adaptation by the SLP, it will work well for SLP's. Well integrated systems. All needs can be met by one company.

We used WebPT as are EMR for in-clinic use for our specialized PT clinic. We utilized it for scheduling, documentation, HEP's and RTM. It helped organize everything into one concise location. All therapists, not dependent on discipline, were able to access patient charts, information and update on a day to day basis.

Likelihood to Recommend

From my experience, I think most outpatient clinics could benefit from WebPT. Especially if you are unspecialized and general, it is a clean and simple format to utilize for day to day patient care. I am not sure on the higher end of clinics because it can be hard to fit the scope of what you are doing in some of the treatment tabs or any other setting is outside my scope.

WebPT is used in our current practice consistent of physical therapy, occupational therapy, speech therapy and chiropractic services. The system in itself is easy to use and navigate through. There are some challenges that are encountered on a daily basis. Chiropractic is a separate LLC so we constantly have to toggle back and forth between clinics which causes the system to often freeze. We also use therabill which is included in our WebPT package. We’ve had 3 instances when the notes did not automatically cross over causing a delay in billing. The therapist has to go back into the note each time and add an “addendum”.

  • Comprehensive with built in macros

Cons

  • Creating a balance when a patient pays a partial copay
  • Ease of data transfer from one clinic to another
  • Cancelling all future appointments for one patient if needed

Likelihood to Recommend

WebPT is well designed for some areas of rehab but not well suited for others. Speech seems to be a challenge for this type of EMR. Perhaps not the best type for this discipline due to limitations. For the other disciplines, it would be nice if the system suggested only specific tests per diagnosis code rather than all available tests in the EMR

We previously utilized WebPT, primarily in the outpatient orthopedic Physical Therapy setting. The business problems that WEBPT mainly addressed were scheduling evaluations and follow-up appointments for patients, utilizing WEBPT as a medium for producing SOAP notes and documentation for each patient case, as well as for billing purposes.

  • Concisely displaying patient cases.
  • Ease of use. while writing SOAP notes.

Cons

  • Ability to see when progress notes are required.
  • An online attachment for Therapeutic Exercise Inclusion.
  • Templates for constructing patient evaluations.

Likelihood to Recommend

WEBPT is well-suited for practices with higher volumes, primarily in an orthopedic-based outpatient setting, where ease of use is crucial for ensuring accurate and efficient documentation display. This also helps clinicians and front desk staff organize appointments and initial evaluations. WEBPT would be less appropriate in a lower-volume practice or setting where there is limited staff.
