In our organization, we use Wrike mostly for project management and teamwork. We like using it daily to manage, organize, and collaborate on events and productions. Two years ago, managing projects was very hectic, but after starting to use Wrike, we experienced a seamless flow in creating tasks, assigning them, and collaborating with teams and external people. Multiple teams can share their comments and updates, and coordinate on a single task, leading to more engaging and productive work. Different project views, particularly the Gantt chart, offer robust visuals that help us map out our entire event timelines.

The Marketing team uses Wrike to manage campaigns and workflows, including creative processes, reviews, and other project management needs. The subsidiary teams within our Marketing department also use Wrike to manage their additional work, including intranet communications, Customer Experience tasks, and social media calendar management.

The customizable workflows allow for various team members to ensure that Wrike's functionality can be adapted to complement their team's needs.

Pros

  • Customizable workflows, including programmable automation to make tasks "smarter"
  • Public forms and guest review features make it easy to collaborate with others in the company that don't use the tool themselves
  • The UX is pleasant and users can utilize different "view" styles to manage their work in the manner that works best for them

Cons

  • Add the description field to table view
  • More nuance could be added to automation to further its capabilities
  • There aren't many options in terms of having a task/project/folder "inherit" tags/features/etc from parent items, which can at times make labeling work more tedious than it needs to be

We use Wrike in many different areas of our company. My area in particular has over 50 projects in process at one time; not to mention the additional task that are issues outside of those projects. I am responsible for implementing real-time hospital interfaces with all our hospital partners. We used to have a spreadsheet with over 120 columns! Now we have a blueprint, request form and boom! Project is created!

Cons

  • There are a few things that are a bit odd at first when learning the system. For example, when typing in the note field in a table view, you can't enter or ctrl-enter for the next line. However, if you go into the details, you can ctrl-enter.
  • The Completed Date is automatic and doesn't allow you to manually change it. We created an Actually Completed custom field to assist with this issue.
  • The automation bots come in at midnight and I haven't found a way to adjust this without adjusting my entire time zone. This is not a big issue but just a small improvement that's needed.

  • I took a Microsoft Excel spreadsheet of 120 columns and 60 rows and converted it to Wrike. That was just the start. We moved at least 3 manual reports over to Wrike and use automation to create the reports.
  • After moving our projects into Wrike, we've added 5 other departments. All the new departments are using Wrike for their own projects.
  • The VP now has greater insight into all areas instead of receiving multiple manual status reports.
  • With the request forms and blueprints, it is very little effort to enter a new project into Wrike!

Wrike - quite good but not perfect for project management

Use Cases and Deployment Scope

We use Wrike for project and resource management in all of our R&D projects ranging from small (1 month) to big (several years) projects. We are doing our personal resource planning within Wrike and manage all tasks within our projects (resulting in hundreds of tasks in the large projects at a time).

Pros

  • Task assigning to colleagues
  • Good overview about resources and resource management
  • All projects and tasks in one place - good overview for upper management and portfolio management
  • With a self-set-up workflow for tasks and projects, Wrike can be configured very well to the company processes

Cons

  • Speed to the data server is quite bad. Opening a task can take several seconds, which is a problem, especially when working in meetings with Wrike and everybody is waiting for Wrike
  • In my opinion, the Wrike API is very bad. Some functionalities which are available in the GUI are not available in the API. This prevents some automation- making more work than necessary.
  • Each resource in Wrike needs an email address. That is no problem for people, but it is a very big problem for laboratories, big machines or similar you want to have as resources in our project planning. It is simply not possible. Very big drawback compared to MS Project.

  • Nothing really - Wrike has done a top-notch job of staying true and listening to their customers. In 5 years, I have seen them evolve the product and bring to life better features and enhancements. I don't expect a product to be 100% perfect (it really does not exist, I've looked) - I expect flexibility and adaptation to continually improve for future needs and trends, and that is what Wrike does really well.

  • We saved hundreds of hours by moving away from manual spreadsheets and tracking for status sheets or client-facing reports
  • We have real-time collaboration, nothing sits and waits in emails
  • We simplified our overall processes by using Request forms and automations
  • When someone requests new work - we get all the critical intake information answered upfront. Now we don't have lost time on back and forth emails or unnecessary meetings
  • We can track and monitor all our internal review process for auditing purposes
