Overall Satisfaction with Acumatica

It is our financial ERP package. We utilize a fairly complex system of routing of invoices for approvals and Acumatica handles that. We also use the fixed asset module. We do not utilize the P.O. module s it is not robust enough to manage our needs.

Acumatica VAR/Partner
It's intuitive and those that approve invoices, have access to personally research invoices if they would like. Our prior system was too difficult for the non-accountant to get into.
Employees can approve invoices on mobile devices.
We are a municipal public power company, therefore we are required to document approvals by authorized personnel. Acumatica manages the routing of approvals and maintains the documents. We are required to have an external audit annually and the ease of use has allowed the auditors to view transactions and documents and does not require our staff to take the time to pull the documents or even accompany them to perform their audit work. The system is intuitive enough that the auditors require very little guidance from us, and we can set up their permissions as view only.
We transitioned from Dynamics SL to Acumatica in March of 2020. Acumatica met our needs, was less expensive and easier to use.

It has worked well for us in an environment where we issue less than 100 invoices per month. Not sure if it is well suited for high volume in this area.

Using Acumatica

30 - It is primarily used by Accounting and Treasury, however all depts use Acumatica to review and approve invoices.
1 - Primarily there is one person that supports Acumatica and that is due to upgrades and Single Sign on, which is optional.

It is currently meeting our needs.

Evaluating Acumatica and Competitors

Yes - It replaced MS Dynamics because it was not intuitive and with a lot of customizations in it, we could not keep updating that software. The customizations would often break on the upgrade.

Acumatica had to be able to integrate with Maximo software that is used by the power generation dept to create P.O.s and work orders for power plant maintenance.
We did a pretty in-depth process and it turned out well for us. We are a governmental agency, and we are required to issue a formal Request for Proposal when an expenditure exceeds $50K.

Acumatica Implementation

Overall, the implementation of Acumatica went very well. The most challenging thing was getting our invoice routing set up. It took several days to get invoices following the necessary approval routings and we do have a fairly complex routing process.

No, it's really not necessary for us.
If by Acumatica you mean, our VAR i-Tech, then yes. One time, I was trying to delete a Rule in the AP Routing map and somehow deleted the whole entire routing map! It's quite extensive too. They were quickly able to get our very recent copy and get it loaded in the live version quickly.

Using Acumatica

I give it an 8 because it is very intuitive and easy to use for day to day work. I find it more difficult to create general inquiries and financial statements than it seems that it should be. It's not very intuitive in those areas.

Yes - I only use it for approving invoices from time to time. That works fine.

Acumatica Reliability

From my understanding, the P.O. module is not very robust, at least the last time I inquired about it. At the time, it had a one-to-one match, with one invoice for one P.O. and that isn't practical for many businesses.
I don't believe it would be an easy system to use for sending out invoices, if we had thousands of retail utility customers. We do a small number of invoices because we sell wholesale power, not retail, so we only Invoice the municipality. Not each utility customer.
It's always available.
Loads quickly and it doesn't seem to slow other connected software down. Like Certify and Maximo.

They are very responsive and quick to resolve issues.

No, annual invoices are fine. I do like that unlimited users are included.

Upgrading Acumatica

Yes - It went smoothly and there have been just a couple of hiccups since. We don't like that we are only noticed and given about 3 months to upgrade. For 2023 and 2024, both times this has occurred which is during our busiest time of the year, Year End.
