Overall Satisfaction with Airbase

We use Airbase for our Construction Management payable system and internal company credit card platform.
For the construction management business, we process all our POs and Bills through Airbase. Previously, we used multiple spreadsheets and paid through Quickbooks, but this has streamlined the process tremendously.
With our Corporate Card system, we used a third-party platform that required us to use a third system to process our monthly invoices. Now, with Airbase, we've reduced the number of systems and have much better visibility of our monthly spending.
Airbase is very user-friendly, and with the various user approval levels, it is creating a much faster process for getting our vendors paid and tracking all the open orders we have with them.

Pros

  • Transparency into the workflow of purchase order to processing
  • Ease of uploading expense reports and ability to process them
  • Visibility into information on when a vendor was paid, and by what method
  • Training was great, and the on demand center is helpful when questions come up
  • Onboarding was very efficient and made the entire transition much more pleasant

Cons

  • We typically batch our expense and credit card reports once a month. I wish Airbase had the ability to batch all expenses from the credit card in one report instead of approving each individual transaction.
  • For a company that uses Airbase for all of their expense management I wish we could change the Tags to be more inline with our company jargon. Replace Tag with location.
  • With the Slack integration it would be nice if I could click on the PO and it pull up the Airbase app if the basic information that pulls over to Slack isn't engough to approve through Slack.
  • We have significantly reduced the time our Construction Manager spends on the bill payment and PO creation.
  • We have much better transparency in our bill payment, which allows self service for non-accountants to get payment information needed for vendors.
  • Our forecasting is much better since we use the PO system for anything encumbering our budget, and allows us to plan for cash needs better.
It is very user friendly, I am still learning all the ins and outs of the system, and I still struggle with finding the appropriate report to verify spends for specific tags, but I believe that is more of a learning curve than an issue with the software. The connections with Slack are very helpful, and save me a lot of time when I am approving POs that are for normal spend items. The app is easy as well, and the ability to snap pictures and upload to the credit card expense is very helpful.
Airbase is very comparable to Expensify. The one thing I like better that Expensify does with the credit card management is it batches the monthly expenses into one report vs airbase having each expense be its own. Other than that, they both are very user friendly. The advantage Airbase has is the ability to also track expenses other than credit cards which was a big improvement for us.

I think the platform is perfect for a smaller company like mine that needs an immediate improvement to their accounting transparency. Especially, if the company is using multiple departments that need access to pay outside vendors.
Credit card processing is extremely easy, and I think it is a great replacement for other smaller companies that do this same type of programming.

I think the one area that could use some improvement is the management of employees, specifically the ability to break it down a bit better. Currently, I approve invoices for a specific person, but I shouldn't approve their purchase card expenses. We have not figured out how to delineate these two items, as now it appears we can only have this person get approvals from one person.
