Overall Satisfaction with DataMotion

We have around 9000-10000 pension scheme members which all hold private and personal information. DataMotion allows us to communicate with clients safely and securely. Standard emails aren’t secure and DataMotion allows a new sense of freedom when corresponding online. It saves on postage costs and delays and is all-around a great product.

Pros

  • Simple and easy sign up process for those who do not yet hold an account.
  • Really simple sending process with outlook integration allowing one button sending.
  • Great user interface when logging in and a huge storage space for both inbox and sent items.

Cons

  • When opening emails using Datamotion, the hyperlink is a little large and sometimes causes concern for elderly clients clicking on the link; if this could be shortened in some way it would be beneficial.
  • The account locking feature after multiple failed attempts to login can sometimes be confusing as there is no timeframe for when to attempt a login again.
  • Sometimes emails don’t get read because people have to make accounts, if there was a way to login as a guest using the correct domain this would make the product even more seamless.
  • DataMotion has had a positive return on investment due to the fact that we have to post less, avoid postal fees, and ensure security.
  • DataMotion has decreased the amount of compliance required when sending out information; when posting documents, we would have previously had to have documents checked by compliance for security, but now we can issue these clients directly.
  • Everyone in the company uses DataMotion; this has saved both time and money because of the decreased number of letters being drafted; it has created a more efficient workforce and boosted productivity.
As mentioned previously, DataMotion is integrated with Outlook, which is our main email system. Because of the ‘add in’ function, we are able to make sending an email with DataMotion as easy as sending a standard email which really boosts the likelihood that my and colleagues will use the system regularly.
I feel that the customer experience has been hugely impacted by DataMotion, the fact that postal documents don’t need to be issued because of the system allows for information to be sent and received in minutes, whereas in the past, this would have taken days. Further to this, customers don’t have to pay to return post and can simply reply via Datamotion, reducing their costs simultaneously.
Egress offers a similar system, although the login and user interface are slightly slower and feel a little more clunky. Upon using DataMotion, it just clicks that both clients and colleagues would prefer a simpler, more streamlined system that allows for minimum effort and maximum reward. We feel that clients feel the same too.

DataMotion is best suited to scenarios where you are sending extremely confidential information. It’s well suited for sending large files containing vast amounts of personal information, which would require additional security. DataMotion is less appropriate when sending small emails with nonconfidential information, such as a small thank you email or chaser emails for nonconfidential details.
