Ensuring security of data while working with shared files
Overall Satisfaction with Dropbox
We are an institution of higher education. We use Dropbox to help us protect the most sensitive and regulated data that we work with. This helps us maintain compliance with federal regulations like FERPA. It also assists us with compliance relating to medical and mental health records as governed by HIPAA regulations. One of the greatest benefits of Dropbox is multiple users having simultaneous access so that we're not having to worry about working off of outdated files.
Pros
- Organization of folders
- Team sharing
- Reminders about storage space
Cons
- Tutorials for new users
- Moving of files
- Most affordable option for us when managing the most sensitive types of student data.
- Allows staff to access files securely regardless of where they are working from.
- Assists with keeping productivity and efficiency high since staff are not limited to certain files based on their physical location.
Google Drive has similar features, but the security functions of Dropbox allows our institution to save our sensitive and regulated data in a more protected way on Dropbox. This gives administrators, decision makers and policy makers additional piece, especially during a time and living in a world where data breaches are much more frequent and common.
