Overall Satisfaction with Insightly

Use Cases and Deployment Scope

We use Insightly for our Career Services Department which includes managing our student outreach, student academic records and placements, as well as, our employer outreach, job opportunities, leads, etc. We also use it for tracking our certifications and testing for students. We have six advisors and two other colleagues all of which use the system to track their outreach and document what they are doing on a day to day basis.

Pros and Cons

Pros

Allowing us to link multiple objects to one record to ensure congruity
Helping us be able to communicate with a large student base quickly while still documenting the outreach
Customization to allow us to use the database how we need it to be.

Cons

We have to do a lot of manual updates because we can only do filters on one type of record at a time unless we are looking at reports. It would be great if there was an ability to filter like we can on reports on fields in Insightly.
It would be great if there was more written documentation on creating validation rules because you currently only have videos and some of them the volume is to quiet which makes it hard to learn.
There is a limit of 8 filters per search but sometimes there is more that is needed.
There is also a limit to the amount of rules you are able to create on page views. We have 3 types of users in the system which has led us to only being able to make rules on pages for our advisors instead of for all of our users.

Return on Investment

Insightly has helped us with tracking our employer outreach which has increased the number of jobs we have available for our students
Insightly has helped us with tracking our placement data for students which has helped us with providing better data for our accreditation.
Insightly has helped us to better interact with our continuously growing student base which has helped us be able to increase the amount of students we are working with instead of only focusing on our graduates.

Usability

The customizable data base has allowed us to adjust the database to almost exactly what we need. While it is easy to use, the hardest part has been learning how to implement validation rules for our team and needing to constantly clean up areas where mistakes have been made on a regular basis.

Integrated Platform Solution

We only use worlkflows in a few areas as our business model is much different from a sales and marketing team. We still use them but more on a monthly or case by case basis instead of integrating it with all we do.

Alternatives Considered

I have used a large amount of CRMs in the past but many of them are not on your list. Most of them have been great but have not allowed us to have as much customization as we have had with Insightly. We chose Insightly because it had most of what we needed and a way for us to customize the database as we needed it

There are a lot of things Insightly is great with for Career Services but much of my job is updating things manually because Insightly doesn't have a way to help me manage the database the way we need to. We have multiple academic records per students but needed to have fields that are multiselect on our contacts. These are all manually updated which are very tedious and not the best for what we need it to be able to do.
