Overall Satisfaction with monday.com
- The overall labor rate has decreased 37% once everyone was trained and actively using it. Many of the by-hand tasks are now automated or mainstreamed (faster) so instead of 20 minutes to fill out a form, it now takes 5 minutes.
- Because of the hundreds of features, templates, options, views, etc., it was difficult to get the employees trained and ready to use it at any given time. A lot of man hours went into demonstrations, 1 on 1 training, and creating boards for others.
- Team communication has increased significantly allowing us to quickly update each other in one platform with notifications instead of emails, texts, or phone calls back and forth; another major factor in our ROI.
- Automations speak for themselves. We barely move items by hand. A column value is changed and then moves by itself, updates the right people, and so forth. We had to upgrade our plan which costs significantly more due to the amount of Automations we needed and the limit placed on the standard plan.
monday.com is being used to mainline all internal processes and documentation for Human Resources, Customer Intake (Leads), Marketing and Sales Planning and Implementation, etc. We utilize it in every department with almost every process that was previously done through email and paper. The business problems addressed were: forgetting small tasks, missing deadlines on projects, disorganization of knowing who had what information or had completed a certain task, and a lot of manual data entry across three or four platforms.
Pros
- Automations: Extremely easy to create as it's in plain-text words. Click a few buttons and you're done!
- Templates galore! There was a big learning curve for most of the crew but once they were given the Training templates, CRM, Social Media, Design, etc. they began to catch on and become creative with their own unique boards.
- Multiple View Styles: List, Calendar, Groups, Colors, Labels, Columns, etc., are all customizable meaning you can have the messiest list of tasks but so long as you utilize the features, it is easy to read at a glance.
Cons
- Automations should definitely have more and in-depth Conditional Statements and more options for Control Flow in general. I'd love to see something equivalent to MIT's Scratch (coding for kids) block programming. Statements: IF, WHEN, AND, OR, XOR. Basic functions like CONTAINS, ENDSWITH, or STARTSWITH for text.
- The Zapier Integration is rather difficult to get accustomed to and does NOT provide that much information when something goes wrong and errors begin to prompt. It becomes a guessing game when you first start learning until you get it right even with documentation. Then you have to add multiple steps/tasks, and code to format data from other apps to work with monday.com. Pipedrive CRM for example, takes the custom fields created by the user, and sends them to Zapier as regular fields—please implement this (https://i.imgur.com/XChppAE.png). Actions/Triggers: I wish there was a trigger for "Item Moved Matching Search" or "Item Moved (Updated) in Board" rather than the column value triggers that, at least for me with a dev background, tedious to work with.
- The Form Views don't have a setting to prevent people not logged in from submitting. I created an IT Help Desk Board and nothing I do or can do, prevents me from sharing the link, having an employee fill it out, and then everything is only updated to me. I had to create a custom field for the user to tell ME who they were. This has been an ongoing problem for the past few years as I've seen many many discussions online about it.
There has never been downtime or any hiccups that weren't user caused or human errors. Every feature works exactly as advertised and displayed which means if we needed a board to track new certifications available with links but no person assigned, it was two clicks away by adding a column. The search feature is the most powerful and simplistic I've used compared to others such as Asana or Trello; it's incredibly fast and intuitively knows what you want, how to find it, etc.
