Overall Satisfaction with Paylocity

We use Paylocity for multiple functions- from employee record management, to payroll, scheduling, performance reviews and supervisions, trainings, onboarding and surveys! Having all of these functions helps to streamline the 'employee life cycle' and cuts out a lot of the leg work that our HR team would have to do if we did everything manually on paper. We've been with Paylocity for 6+ years and the functionality has evolved tremendously which is keeping up with the growth at our organization.

Pros

  • Employee record management- In an employee profile, you can find everything you need to know from personal information, to payroll information, employee tenure, time off allowance, education, and much more. It makes it easy to find information quick on an employee which is extremely helpful when you have 130+ employees!
  • Payroll processing- every payroll processor is going to have things you like and don't like, but for the most part, we have been really happy with the payroll aspect of Paylocity. It's easy to navigate, and it will transfer information from timesheets in one module into payroll in a whole separate module allowing for a smooth process come payroll processing day. It records all pay information, including any check ever received from our agency. You can also look at data trends with payroll in the data trend section which is helpful when evaluating payroll across multiple departments in an agency.
  • Scheduling feature- we really enjoy the scheduling feature that is in the Time and Labor module. We have multiple departments that use the scheduling function and it is really easy to use. This is especially helpful when it comes to varying levels of IT/tech knowledge across supervisors. If changes need to be made mid week to an employee's schedule, you are able to publish the schedule for that one employee while not effecting or notifying the entire company.
  • Learning module- we use the learning module to assign our computer trainings to both new and current employees. We have been able to add in our own trainings as well as links to other websites where an employee may need to complete a training. It keeps all of their training information in Paylocity which is nice in case you need to access it down the road.

Cons

  • Customer service- While our support team has some really awesome reps, we have found that information given is not always accurate from rep to rep. You may call about an issue twice in a day and both answers received could be completely different depending on who you are talking to.
  • Functionality- I do wish that the employee record could house everything related to an employee in that one section. For example, to access an employee's prior annual reviews or journal entries, you have to go to the performance module. To see an employee's time sheet or schedule, you have to go to the Time and Labor module. It would be nice if everything was housed, or at least linked to their records under HR & Payroll.
  • Reports and Analytics- I wish it was slightly easier to use the reporting tab. I know there is an AI tool to help you navigate now, but once you are in dynamic reports- it can be one of the most confusing things you could ever look at. One wrong setting will screw up the entire report when you export it and there will be no information on it when you open the download. The system won't tell you where the error is either, you have to dig to find that information or call Paylocity for a quick answer.
  • Reduced errors in comparison to manual/physical paperwork tracking
  • Better workforce visibility- leadership is able to access information regarding their teams in one spot.
  • Data tracking makes it easy to determine trends which helps with decision making in both the short term and long term picture for the agency. Strategic planning for the future can be done when evaluating trends over the course of time.
It has affected our business in a really positive way. We are able to focus more on the human aspect of HR-- by this I mean we are able to spend more time with each individual in person, rather than getting bogged down with manual processes. Additionally, payroll went from taking multiple days to a matter of one day! The system will catch things that seem off and will halt a payroll so suspicious things don't just get approved- for example, if an employee is being paid for an excessive amount of hours, the system will give us a notification to make sure this is actually true, rather than human error or a glitch in the system.
This has been extremely helpful in terms of employee communication. The community page has been instrumental in getting company-wide communication out to everyone in one spot. Since we have multiple departments that utilize different softwares, the ability to instruct employees to one place, makes it a lot easier for employees to access their information. We have a lot of employees who enjoy recognizing employees via the impressions. It's nice that everyone in the company can see these impressions on the community page and I know for certain the people receiving these experience a boost in morale. Who doesn't like getting recognized?!
Where I have been using Paylocity for 6+ years, I would say that Paylocity is fairly easy to use and helps streamline a majority of the processes that an HR department may be struggling with if they are doing everything manually. Once you really familiarize yourself with the system, you can feel confident in finding information quickly and efficiently. This is important when you are part of a quick paced organization where things change fast!

Paylocity is amazing for any smaller business ranging from 10-150 employees. We are up to almost 140 now and it has been really efficient in meeting our needs as we have grown. I can't speak for larger companies as we have not gotten to that point, but so far, it has been able to do everything we need it to do to manage employees during their 'life cycle'. It has been really cost effect for us as well which is huge since every other competitor wants double what Paylocity is charging. Cost is critical when you are a small to medium business.
