Overall Satisfaction with Prophix

We use Prophix for budgeting and forecasting. We were building 30+ budgets individually through excel and it was very time consuming to build and double check as each was different. Prophix brings our data into one place and allows for easier budgeting and forecasting for our organization. We plan to move forward with the account reconciliation piece next.

Pros

  • It consolidates data into one space very well.
  • It allows for flexibility when budgeting and forecasting
  • It also allows for scenario planning
  • The functionality that brings actuals into the budgeting process is very helpful

Cons

  • the formula syntax is hard to follow, wish it was more like excel
  • building out reports can be confusing and seems like it could be more straightforward
  • trying to follow why a number changed can also be troubling, especially if you weren't expecting it
  • It streamlined our budgeting process and allowed us to rely less on manual excel inputs
  • It lowered our time to review individual budgets by 30% as the system was able to handle the unique situations each different facility had
  • It lowered errors immensely with the actual data being entered into the system and not being done manually.
It allowed us to move away from using excel 100% for our whole budget process. We were entering actual financial data into excel, and then having to link different tabs and spreadsheets and calculations to get to the final result. It was a lengthy process which created an additional lengthy review time based on the unique nature of every facility.
I think the product is very useful in consolidating our data and being able to turn actual data into a viable budget for the next year. We are still early in our use of the product, so we have run into a few hiccups that have slowed down our process this year. Although I think it will be great in the future, the learning curve is steep.
We ended up selecting Prophix because of the amount of other senior living companies they worked with. Our finance team has a lot of experience in finance, just not in the industry, so we were hoping to gather more information around best practices from other clients and see how they use Prophix in their businesses.

Prophix is great for consolidating data into one place and building a repeatable budgeting process when building out multiple budgets. Bringing in actual data which then can be pushed forward into budgets is very useful. The system isn't always flexible in one off scenarios or if there is a lot of variation between budgets or actuals.
