Use Cases and Deployment Scope

We use Sage Intacct for our accounting package for our project here in San Antonio, Texas. I use Sage Intacct with entering AP and AR invoices, submitting them for payment; paying the invoices, setting up the check runs; reconciling all balance sheet accounts; running month end reports, either standard or customized ones; posting monthly journal entries, running trial balances, reconciling all our bank accounts, just to name a few.

It's allowed us to generate financial statements for outside entities - banks, auditors, etc.

Sage Intacct Automation

Our organization has benefited from the automation of core financial processes like the gl, ap, ar in that it generates, standard and customized financials based on our needs, and it makes it easy to also make changes to either, to produce a set of financial statements that are pertinent for management decision making and also to provide outside entities, i.e. auditor, owners, banks, for their needs as well. These are very detailed yet streamlined to giving everyone what they need.

Sage Intacct Extensibility

At this time we do not needed the more advanced modules like multi-entity & global consolidations, project accounting, time and expense management, contract revenue management and spend management. We're only using Sage for our local entity, everything else is done in Canada on a more consolidated level.

Sage Intacct Configuration

We were able to configure Sage Intacct to fit our needs. It took some time, to know all the ins and outs, but with my boss, we figured out how to configure Sage Intacct to fit our needs, whether that's through each module, reporting and such. For example, we have approval levels when entering invoices, I'll enter them, my boss, our director, or the controller will approve invoices, depending on their dollar amount thresholds, then when it comes to approval payments, the controller will approve all payments, then we'll run the check run. Doing this allows us a great separation of duties, from entering, approving and paying invoices.

Alternatives Considered

Well Sage Intacct is great for using in the that we're a small company. It allows us to enter items, bills, ar invoices, pay them, review all general ledger transactions and preparing a set of financials for decision making purposes. I've used other systems, such as Sales Force, WorkDay, and Peachtree accounting packages and by far Sage Intacct is better, more user friendly than any of the others, provides more sound information.

We're working with a project where Sage Intacct allows us to focus on all areas. We're a small company and the following modules are well suited for our organization: Cash Management - reconciling our cash accounts, weekly and monthly; General Ledger - posting monthly journal entries, looking up detail information, recurring journals, activity reports and standard reports, i.e. journals, trial balances, gl details; Accounts payables - entering vendors/bills, paying them, setting up recurring bills; preparing check runs; printing checks; running 1099 reports; approving payments; custom and standard reports i.e. agings, check registers, vendor listings, and bills analysis; and Accounts Receivables - entering new customers/invoices; receiving payments; running custom and standard reports. We also use the reporting module for any custom or standard reports for our finanacial analysis. Less appropriate would be for tracking inventory, as we do not track it in Sage nor use Sage for payroll either nor tracking fixed assets, as this is done on our corporate software.
