Overall Satisfaction with Webexpenses

We use Webexpenses to create and approve business expenses. Normal usage by all permanent staff. We have a challenge where teams are spread all across multiple offices worldwide and we need a consolidated platform to handle the workflow for approval before payment. Webexpenses does this well.

  • Full historical log of payments.
  • Improved customisation of alerts and emails, including rich text formatting.
  • Improved URL resolution for better bookmarking.
  • More clarity on multi-currency reporting.
  • Small annual saving on licencing.
  • Perhaps 0.1 FTE saving on admin time compared to previous system.
The system has a modern a clear web UI, with pleasant formatting and style. The email alerts also have direct links, which prevent lots of in-site navigation to perform common tasks, such as approving an expense. More complex tasks such as uploading a receipt or other image is also straightforward and directly attaches to the relevant entry.
Currently we have not used any automation - users directly make claims and then managers approve them. It is integrated with the payroll system which means fewer mistakes on monthly payments.

It doesn't do anything particularly special, and there's a lot of competition in this area. But Webexpenses is a solid tool, good value, and very reliable for business expenses and integration with financial systems. If you require simplicity with multi-currency expenses (such as always having a dynamic exchange rate) then perhaps there are better tools, and it also is relatively full-featured, so has complexity. But for medium sized businesses it is a good solution.
