Overall Satisfaction with Webexpenses

In our organisation, we use Webexpenses across 3 entities for hundreds of users which makes life so much easier than manual claims with paperwork and receipts. Webexpenses has massively improved the accuracy of claims and time taken to reimburse each claimant. The system really is quite clever, and as an Admin I really enjoying learning everything it has to offer and sharing this with users to improve their experience. The Reports functions is also brilliant for, well, reporting! But also provides a lot of data which we won't not have previously had. We are currently looking at the possibility of implementing the new expense reimbursement solution in the near future. A fantastic expense tool, really makes life easier all round!

Pros

  • Excellent reporting tools
  • Quickly links to our Finance system
  • The App is great for saving receipts on the go

Cons

  • No way to delegate via an out of office function
  • Sometimes approvers receive emails with links to approve claims that don't work - possibly claims the system splits
  • It can't seem to allow many levels of coding, e.g. where a cost centre/department differs for each budget code
  • Helping us on the quest to go paperless
  • Claimants are notified of every stage of their claim through to payment
  • We now have about 4 times as many corporate credit card holders, as Webexpenses makes the process so much smoother
I find Webexpenses easy to use, and quite self-explanatory. Which in turn once you as an admin are used to it, helps massively when training and helping others and new users. The system tells you if you are missing something, or there is an error. Anyone willing to want to use Webexpenses can do so easily I believe.
Webexpenses support are always very quick to respond to me,, and always willing to help. I feel occasionally there's some glitches which they can't explain, but that's understandable.
Yes, we have used Webexpenses to automate expense claim submission, approval and payments - we may look at invoice processing in the future.
Getting everyone on the same page. Workflows, reporting tools, quicker reimbursement, policy compliance, ease of claiming, less paperwork/receipts.
Webexpenses is, from what I remember as it was about 6 years ago I used it, very similar to Concur. Find both easy to use.

Yes

Webexpenses is a fantastic online expense solution for any business I think. It means less paperwork, less claims going missing in the post, quicker reimbursement, less receipts lost, great reporting tools and a lot less manual work for both claimants, approvers and Accounts. You can set defaults, e.g. budget code for 1 claim if it's going to be the same. It also helps with PSA reporting, for staff gifts.
