Overall Satisfaction with Webexpenses
Webexpenses is used across our entire organisation to track, review, approve, and pay expenses claims. This is to create a much more streamlined workflow for both users and approvers compared to using excel, in particular for managing receipts
Pros
- Shows the progress of claims.
- Auto-detects and fills in purchase amounts from photos or scans of receipts.
- User guides are clear and useful
- Receipt management
Cons
- Very slow responsiveness.
- Not very user friendly intuitively.
- Forces more than is necessary - e.g. having to write a description for something self-explanatory.
- Mileage calculations can be hard to edit if the route you took is not the route it assumes
- Visibility of expenses in a single platform
- Time and therefore cost saving in finance and admin processes
- Some aspects are slower than excel and therefore less efficient
I've only used the claims submission side - and from that perspective, it took substantially longer than equivalent methods of e.g. submitting an Excel claim form would have done. However, it does save some time on having to then send receipts separately with an excel sheet, since with Webexpenses it's all in the one platform. I can also see how it saves time on the part of our finance team in terms of collating, processing and approving.
As a user, I prefer filling out an Excel form - it's much quicker than Webexpenses. However, having receipts in the platform is very helpful, as having to sort these separately is a drawback of excel. I can also see how Webexpenses is useful for the finance and back-office teams.

- It auto-populates many areas from just the photos of your receipts, which is very useful and time saving
- Sending receipts directly with the claim in the same platform ensures there is a receipt for every part of the claim
- Response and loading times are very slow, restricting speed of workflow considerably
- Mileage calculations are very difficult to adjust if you take a different route to the one the software automatically calculates - e.g. if you take a faster road that gets you to your destination quicker, but adds mileage to the route
