Workfront has enabled my organization, which is made up of multiple agencies under a single banner, to bring our work processes and job tracking fully online. We send fewer emails and worry less about who was CC'ed in an email chain since we use Workfront's comments feature for our project-based communication. We no longer use physical job jackets, filled with paper that can get lost thanks to our use of the ProofHQ markup tool. Our various agencies work in a single instance of Workfront, making collaboration easier than ever, projects just need to be "shared" to the right person or team and they have instant access to everything they need. Our account teams and executives get a real-time view of the current status of their projects through Workfront's customizable reports and dashboards.

  • Permissions-based views only allow users to see the information they should, making client "firewalls" easy to maintain
  • Added flexibility on how project plans operate (ex- our "plan" was to have task A done by Tuesday and task B start Wednesday, task A is completed behind schedule, task B still shows that its planned to begin even if its not ready to start and the date is now in the past). It would be nice to have the system update your plan automatically if other tasks are completed late.

Our previous system was home-brewed Sharepoint, mostly for note-taking and online tracking as we routed physical job jackets, scanned documents and emailed them to one another. It was fine for its time but as we expanded not just in volume but in location (offices went from NY only to NY, NJ, CT, CA, OH, London, Manila, plus remote more employees working from home), it was overdue for a replacement.

We selected Workfront after a couple of live demos from competitors as well as researching about 8-10 others online. While every system had its strengths, we found no other system that matched the flexibility, robust features and customizability of Workfront. And that was before we factored in the ProofHQ tool. At that point, no one else came close.
Internally, collaboration has never been better or easier. Using ProofHQ and Workfront's comment features, we can easily discuss a project and have that be a part of the official record. We can work far more easily with all of our employees no matter where they are and Work simultaneously to more easily meet difficult deadlines. We had one instance where an editor was marking up a PowerPoint presentation, while our medical writer collaborated and answered questions while our Desktop artist followed them and made the changes as they were written. Its not how we normally operate, but we hit that deadline hardly breaking a sweat.

As for external collaboration, its only been tried by a few brave employees and our clients who are willing to try something new. I'm confident that with time, many more of our clients will be directly collaborating with us using Workfront and ProofHQ.
Workfront's representatives initially met with us to both understand our business and our pain points that we were aiming to alleviate. They instructed us in the basics of the system to help us make informed decisions in how we would configure the system and met with us regularly to ensure we were on track. Post-launch, their support team (Help Desk and our Customer Success Manager) has helped us troubleshoot, work towards implementing new features and drive user adoption.
Workfront is an excellent tool that can suit any number of use cases. Pretty much any organization that has employees of multiple disciplines working together is a good candidate for Workfront for their day-to-day operations. Perhaps in companies where work is more individualized, Workfront may not be the solution for their main work (though an argument could be made to use the Request Queue feature for one-off requests for certain departments like IT or Art).
