Overall Satisfaction with Zoom Workplace
We were running out of licenses for our on premise phone system and rather than invest in technology that was outdated, we decided to go with a cloud based phone system. Zoom Workplace has been put through the paces in our environment since 2020 and we have been able to trust it in crucial areas. The AI summaries have been an added plus for us.
Pros
- Audio quality of phone calls is spot on. Calls are clear and crisp.
- Video quality of video meetings are clear and there aren't any pixelization artifacts that some systems can have.
- Having AI summaries have been life changing for us. We no longer have to concentrate on note taking, like we did in the past. The summaries are accurate and enable us to put our efforts in the meeting or conversation. Plus, we can save them into our practice management system as required.
Cons
- We would like to have the AI summaries across all phones, including desktop phones. Right now we only get them when a call is on the computer client or a mobile phone client. It would be hugely beneficial for us if they were on all calls, regardless of device.
- AI companion can use some work on pulling data from Microsoft 365. Right now it isn't pulling all the data we would like, but realize it still is in the beginning phases.
- We are still early in our adoption of Zoom Workplace for business, so we don't really have any data to show cost savings.
- The ability to take a call summary or meeting summary and add it to our practice management system have been remarkable. It's a quick copy/paste and it's in the system. Prior to this, we would have to scan in notes and save them into the system, if it even got that far. Mostly, attorneys would be searching through legal pads for the notes of a previous meeting or phone call.
We are still and we don't save documents into Zoom Workplace, so it we wouldn't be the best at reviewing this component of Zoom Workplace. I have played with it a bit and found where I would like it to do better is accessing my email. It isn't really good at that. It is good at finding my calendar and telling me what is next and provides some good feedback on how to prepare for my next meeting. However, it does hallucinate a lot on that, but that could be that we are not putting all our data in there for it to glean the information it needs to properly prepare me.
Quailty of Video and Audio on all three is very good. However, Zoom Workplace really shined with its AI features. RingCentral hadn't really rolled their AI out when we evaluated them and Dialpad did have AI features, but they really failed in some critical testing. Had the names of the call participants all backwards, which didn't impress our testers. Name recognition was also a key factor in our decision. Our board of directors felt that Zoom Workplace would be around a lot longer as Zoom Workplace and not be gobbled up by a competitor to gain market share. They felt that if anyone did the gobbling, it would be Zoom Workplace and they didn't want to have our system sold out from under us.

Evaluating Zoom Workplace and Competitors
Yes - Mitel on premise phone system was replaced when we moved to Zoom Workplace. We were running out of licenses for our system and knew that Mitel would force people off their on premise system in 2029, so it wasn't worth our time and efforts to simply purchase more licenses. Plus, after going through Covid-19, we wanted something that could be used anywhere there was an internet connection and be device agnostic. Zoom Workplace fit those goals.

I would find it hard to actually find someone in our organization that hadn't used Zoom Workplace before, so the learning curve was next to zero. All we had to do was train them on how to use the phone features of Zoom Workplace and then they were off and running. I can honestly say that the migration from our Mitel system to Zoom Workplace was one of the easiest migrations we have done and people are loving it!
I'm not sure we would change our process because it was through our process that we were able to determine that Zoom Workplace was the best solution for us. If I needed to change anything, I may give myself a little more time in the migration process just so I felt more at ease with it. I was really stressing the day and night before we flipped the switch because I wasn't certain we hadn't missed something. We didn't miss anything and the migration was incredibly smooth. I just felt we rushed it a bit.
