12d Synergy vs. FileHold Document Management vs. OpenText Documentum

12d Synergy and its ability to handle all file types really suited the engineering industry.

Scenarios that FileHold Document Management documents are well suited are to store documents, manage them and share them with other employees through the cloud. FileHold Document Management does a good job at all of these in addition to the fast loading time and ample storage space. However, other software such as good drive still remain better due to its ease of use and accessibility.

Documentum is best used in medium to large institutions that can afford it, have alternate solutions for web publishing, and who have either in-house developers or can hire good Documentum developers (not the ones who know Java but do not understand ECM). It is, in my opinion, the best heavy duty ECM solution out there, assuming OT is not gutting it as we speak. That is my only hesitation to not giving it a 10, OpenText is an unknown quantity in this and I worry that they will only support Documentum until they have figured out how to fill the gap between Documentum and OT and then offer a migration path to OT with a Documentum sunsetting as an incentive.

• Manages multiple files in a folder, while allowing file sharing (AutoCAD, xrefs, etc.)
• Delivers HUGE (2, 3, or 5GB) files with minimal bandwidth

• FileHold scales well and can serve small companies up to enterprises with thousands of users.

• MS Office Integration, version control, a powerful search engine, and cloud availability.

• Records management: Compared to other content management systems, this provides a efficient and scalable solution. It gives lot of flexibility in managing the content as Records or Legal holds.
• Workflow system has external plugins to connect with FAX, Mail, Database and FTP servers etc. which gives an option to integrate with any system with documentum.
• Creation of websites and maintenance is easy. Content authors can create the pages with effective mechanism.

• 12d Synergy could provide additional analytical reporting on user behavior and usage out of the box.
• Improved speeds when referencing shared files from other 12d model projects.

• Whenever there was an update done to the program, we would run into multiple issues.

• WDK framework has been the biggest drawbacks from the application speed point of view, as well as client complexity and not so natural look and feel. Yes, with the latest releases much of these features are improved.
• EMC is very expensive to buy, own and support, where some products require many dependent Docuemntum products to be installed to work at its best.

Stability is a key factor as well as its flexibility. Also, any organization that deploys Documentum will have made a significant investment in terms of time and money, so not renewing its commitment can come with a significant cost. That said, the decision to deploy Documentum initially should come only after extensive evaluation, knowing that once deployed it will likely remain the platform of choice.

FileHold is the ideal solution if you are looking for an electronic library with workflow functionality. The ease of use and integration with other tools we already use was also a huge incentive. It also allows us to import and export data. The search features and the ability to accept electronic signatures further made our lives easier.

FileHold was easy to implement as well as to configure to meet our organization's business requirements. We all found the search capabilities to be wonderful, reducing the time it takes to find a particular document. FileHold is easy even for the most novice of users to become productive in a very short amount of time.

Hands down prefer 12d Synergy. Bentley ProjectWise is overly complex, expensive and has a very cluttered interface.

I selected file storage document because it has better security feature and some employees are used to the software already. Also, I wanted to try out new software to see if there are better software out there than what I'm currently using. Google Drive doesn't offer too much security in term of their file storage feature.

• 12d Synergy has solved our multiple office syncing issues, adding the ability to have staff from remote offices collaborate together on projects.
• Email saving used to be a nightmare, however, staff finds 12d Synergy's email saving easy to use and are able to search for saved emails quickly.

• Faster approval process
• Better relationships with our plant [locations]
• Improved employee efficiency by making the approval process faster
• Improved employee efficiency by allowing employees to find documents faster through the search function

• After this product, the client is able to manage content security and due to it, the client is able to use the business process, and this really reduces effort and increases the profit in business.
• It provides integration with SAP easily which really helps the client to manage this effectively and with minimum effort system is ready to use.
• Also searching, automated flows also create a bigger impact and reduce a lot manual effort.
