Airtable

Many business processes can be improved with a collaborative relational database, but few know how to create and use one. It wasn't until I became aware of Airtable that we found a solution that allows us to implement the best features of a collaborative RDBMS with our staff who don't have any training. I had previously used Zoho Creator and found that it was difficult to onboard new users because of a steeper learning curve. The combination of a minimal learning curve and features make Airtable a win. I've already recommended it to colleagues at other universities who've started using it.

Chatter

It'll work well if there are multiple people or teams working in Salesforce CRM on an opportunity or similar thing. It keeps all the communication in one place and allows documents/URL /polls.

Pros

  • Links between different tables. This is one of the best features if you're managing things that are linked to other things, which nearly everything is!
  • You can add fields, change fields, remove fields, whenever you want. It's an adaptable, dynamic database. You don't get stuck with a structure that doesn't work for you-you just change it.
  • You can view records in different views e.g. as a grid, form, calendar. This is so handy. When I'm collecting data about a new participant in our program I open up a new record as a form and fill it out like that. At other times I need to see them all as a list or group of different criteria and I can do all of that with the click of a button.
  • You can send out forms and the data goes straight back into your Airtable workspace. So handy and makes data collection and management easy.
  • Grouping, filtering. This is so handy for viewing where tasks or participants are up to in the process.

Cons

  • We are relatively new to Airtable and are still exploring its functionality. We've also just been using a free account which has some limits but paid plans have features that could be handy. So far, we're just thrilled at how it's streamlined our workflow and information management.

  • Horrible user interface, very counterintuitive, super dated and antiquated
  • Hard for new users to figure out how to join groups and share information
  • Slow in relaying private/instant messages many times

Chatter can fulfill at least 85-90% of our business requirements in an easy-to-use platform. Usability is a key requirement and we have had our share of bad usability experiences. In our experience, even the most novice users were able to pick up Chatter in a relatively short amount of time with little/no assistance.

It's not perfect but it is really easy to use and I think most slightly technical people will pick it up quite quickly.

Sometimes, I have to wait a bit longer but I'm on a low priced option so I understand why. Generally, they're able to provide me solutions to my problems as long as I'm not in a rush.

Alternatives Considered

I don't intend to replace Basecamp with Airtable, rather enhance my use of it, limit it to what it does best, which isn't ongoing tracking of data. Not wanting to build this in something like Access, which I've used previously, I did a search for services like Airtable that would help me build a relational database online and compared them. I selected Airtable as my first choice to test, and haven't gone further. It works well. So, I can't give comparison information here. I would say start here.

HipChat is better for chat functions. Outlook is generally better for anything else.

Return on Investment

  • Increased, improved communication among staff. Therefore, the staff spends less time in the dark and less time dedicated to communicating effectively.
  • Increased efficiency for workflow, which leads to higher productivity.
  • A better final product for the audiences we serve, and better accessibility to the information that they need.

  • Less time spent emailing back and forth
