Asana

Asana functions particularly well in scenarios with well-established teams with well-established processes and a mature SDLC. The reason is that Asana can be configured to do many, many different things, and be used in many, many different ways, and with that power comes a lot of responsibility to figure out your process before you try and automate it. It's software, not magic.

The best part about Meistertask is how dead simple it is, while still absolutely nailing what it needs to really get right. Meistertask makes task management dead simple for me and keeps the detail out of the way unless I specifically need it.

Pros

  • Cross-team communication is always a challenge, but Asana helps make information transparent and accessible to all members of the team.
  • It's easy to share with individuals outside of the organization and still control the flow of information.
  • Being able to link in other design resources like InVision prototypes is a huge time saver.
  • Integrating with Slack makes much of our necessary communication automatic.

Cons

  • I personally have not found anything that I would recommend at this time. However, I have noticed that the older generation of employees struggle with its style where the computer savvy and younger generation thrive. I have no idea how Asana could overcome that obstacle.

Asana is great for how I end up using it. When a new project launches and I get busy, I can easily pick it up and begin using it again and as I get more time (or the project completes) I can drop it again. It seems to morph better than any other application to exactly what project I'm working on, what I need to track, etc. It simply fits into my life extremely well and I'll end up using it again every time I start a new project.

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

Alternatives Considered

We had used Mavenlink in other departments but for the Design, Product Development and R&D teams, Asana made much more sense and we have not regretted the switch for them. The organization is key when forming ideas and doing a bunch of research, it is difficult to keep all of these things organized. This was our main goal when we chose Asana, we had heard good things and wanted those benefits for our team.

More customization, easier learning curve, gorgeous interface, more user-friendly, just the right amount of features without offering so many that you practically have to set up the entire app yourself before you can use it, the most integrations with other services, lets you do simple tasks with fewer steps than some other apps, image thumbnail previews, mobile app version also, allows for separation of different contexts but also ties them together cohesively, the right balance between simplicity and complexity, provides automation capability

  • Once you have committed to this tool you will save time between ideas and execution. I have not used it with groups of people, however, I know that when a group of people gathers around one app and works with it, things get done.
  • I have saved time in the space between moving ideas from a [map] into here - that saves me hours of navel gazing!
  • Gathering information on one card for one blog, podcast or email newsletter is another key time saver and being able to link to folders and files directly from within the app is heaven!
