Asana

Asana is well suited for use of product management with multiple users working and contributing to the same project. The inability to assign deadlines to tasks within a project makes it a little stressful on large projects. The fact that you can enter unlimited tasks is a huge pro.

Projector PSA

Projector PSA is a key business tool in my Professional Services (IT Consulting - design and deployment of infrastructure related IT solutions). It is strong in the areas of resource management - utilization/availability, billable/non-billable time, task management, expense management, actual and forecast revenue and project profitability. It allows for the management of multiple resource types (levels) across multiple (concurrent) projects, being sold at different rates. Projector PSA has extensive reporting available and this has recently been further enhanced by the introduction of an advanced analytics module which provides for even more flexibility in how data is presented. There are a wide variety of invoicing options available and these cover standard templates for T&M and Fixed Price engagements with summary level or resource by resource, task by task level detail available.I do not use Projector PSA for Project Management. Although it has functionality in this area we continue to use MS Project and when required input data into Projector.

Pros

  • Due to the fact that our team is bi-coastal, we needed a tool that allowed the East and West Coast teams to communicate deadlines without the need to worry about servers and their slowness to transmit/copy information. Asana is a great tool to do that, since it is web based there is no need for downloads, or worry of server crashes, which often happen here. And of course we love the price...FREE!
  • Asana allows us to assign tasks to team members, which they can in-turn inject sub-tasks within, this helps us track where along the process everyone is to make sure we are all hitting our deadlines. The simplicity of the site makes it easy for anyone to use and quickly learn the tool.
  • Real time interaction is a huge help. Comments populate instantly which ensures we aren't missing any questions or concenrs and helps eliminate exesive emails.
  • Asana is a great product to increase communication within a team and requires very little time to learn, unlike some other Project management tools, which tend to be a lot less user friendly.

  • Projector is a very well designed tool for project management. It has allowed us to eliminate a number of auxiliary tools for project timelines and WBS for the vast majority of our projects.
  • Time and expense entry is intuitive and quick for our staff.
  • Our forecasting and resource management capability has improved greatly with Projector and allows us to grow our team efficiently with minimal additional administrative burden.
  • Reporting is extremely robust. It does require some time to really get a handle on the full functionality of the reporting tool, but once you do, you can get almost any kind of report you want out of the system!

Cons

  • Sort tasks by creation date; tasks are automatically sorted with newest on top and oldest on the bottom. Giving the option to inverse this would be a welcome QOL update.
  • Allow tasks added by email integration to be assigned to specific project sections to minimize admin clean up.

The version of Asana that I'm using is free and works amazingly for my needs. If I were part of a larger organization that was going to pay for a project management solution, I would definitely recommend Asana. It is a very polished and feature-packed product that was designed with a focus on usability and functionality. The only thing that would make me recommend something else would be some unforeseen feature that I don't know I need yet.

We have been using this tool for a year now and find our use of it continually evolves and broadens. We are also very excited about the overhaul that's under way and feel many of the improvements being put in place will help make us that much more effective and efficient. The Projector team is also very responsive and collaborative in terms of user feedback and improvement suggestions, which helps us know they will work hard to help us get what we need out of the tool.

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

Alternatives Considered

We “beta” tested several softwares across our company. Asana was a great fit for our small corporate team. But when we rolled it out company wide, it didn’t stick. We eventually ended up using Airtable - which has worked out well for us.
