I can not be happier. My team was using Basecamp but we outgrew it. We moved to Teamwork and clients stopped using it and so did my team. We were in Teamwork for just a month and decided we needed something better. We then found Asana and it has been a breeze since. My team was far happier and ready to use it and my clients started interacting with it again. It is simple to use, yet very powerful

If you really do a lot of retainer type billing it may be an issue for you. But, if you bill time and materials or flat fees for products and services it should be fine.If you use Google Apps fully WORKetc is a great tool. I know it works with other email solutions but the GApps integration is outstanding. If your team is spread out in multiple locations, the management tools keep things moving. It works fine if you are all in one room but it really shines if you don't work in the same physical location. If you don't like working in the cloud and what that entails you will have a problem with it. But, if you fine with the cloud it has virtually no management required. If you can't be patient waiting for new features and handle the transparency they share on why things take time, you shouldn't use the tool.

Pros

  • Multiple users can access the program at once without stepping on each other's toes or having to wait until someone is out a project to add something. It is definitely a group friendly program.
  • We like how visually pleasing it is. It is not at all intimidating to first-time users as it is very user-friendly. You can quickly find what you need and become comfortable with its features and functions.
  • I personally like being able to assign different tasks to different employees and be able to receive feedback and progress directly from that assigned person as well as view it myself.

  • Connecting all the different methods of communicating with our clients into one place is the best part of the application to us. The Google Apps integration lets us update all of our WORK[etc] details directly from our email page which saves a huge amount of time. It lets us move back and forth freely between WORK[etc] tools and our Google Apps email, documents, calendar, etc. with ease.
  • Breaking work according to what we are doing helps us group and ungroup things as needed. Since we do tech support and so much more having the ability to connect projects, support cases, to dos, documents, discussions, and more all together makes it easy to work with the relationships of all the different activity.
  • We have found the discussion tool to be vital to moving things through quickly. There are many discussions that are just FYI while others really need a decision or answer form the team members. Discussions allows us to quickly note the people we need to answer us and what is there as an FYI. It keeps all that history so our decision process become documented easily and not lost in email chains.

Cons

  • I wish Asana had more customizable reporting. One of the benefits of using Asana is that you can track tasks and actually use those tasks to build repeatable processes, but decoding reports can be challenging.
  • Asana's printing functionality needs improvement. You can use Asana tasks to create agendas, for example, but it's not possible to print a clean agenda to share with a group who's not on Asana and/or doesn't have their computer at a meeting.

  • We really want to be able to control subscription billing better. We sell tech support contracts with a set number of hours in the contract. We have a work around for doing it within the invoicing system but it would be much better if we could handle it properly.
  • Reporting tools are not as flexible and capable as we really need. There are lots of things we have to dump to a spreadsheet and attempt to pull the data we need there instead of directly from the application tools. This is especially important when it comes to the financials.
  • Mobile app for iOS is a long time coming. We have seen videos for months with no product yet but if it does work like they say this would be solved. The current iOS app is completely useless to us.

Asana is adding more useful features and it makes the work of their entire team more organized and more efficient. It really helps us in achieving greater achievements as a team. It helps us to earn more revenue since we have more satisfied clients, simply because we are able to finish their project on time or even before the due date.

The roll out of the mobile app will be such an improvement for us there won't be a pressing case for any type of change. The other problems we are currently working around already, for now. We can't find a better tool that does all it does well plus handle the few changes we would like for a price we could afford, maybe not at all.

My staff hates it, our clients require transparency and you manual have to enter notes, billing is horrific, as it does not subtotal by type - so as a T&M shop there is no way to easily see how much was spent to each matter or service type.

They load quickly. Recently I have had an issue ( I still have) where when I click on the WE logo in Google mail there is a step between. That is an error. Needs to be picked up. Will report to support.

They don't fix everything, but they have certainly gone the extra mile for us. When we were frustrated with a recent change that altered our default view of every project, changing it from all projects being visible to just incomplete projects being visible, they wrote a custom script to change all of our default views back for us, so we didn't have to manually click 3,000 times (we have over a thousand projects).

The implementation of the system was fairly easy. Because of our previous experience with a similar system, we were ready and working on the product as soon as we announced the switch. The system also allowed us to simplify our processes by integrating timesheets and project management directly into our CMS.

Alternatives Considered

Trello is a very simple board based project management tool. It lacks clear display and organization. On the other hand, Asana provides a much better layout on all devices including mobile phones. It is cross platform and has much more advanced features than Trello. Asana is also better because of the comments, likes and inter-communication options.

WORKetc is much better because it is integrated with a number of key modules that we use all the time. It's also proven to be very robust in its operation and search facility of managing over 4000 contacts. We also like it because it provides a great level of certainty that projects are being delivered along Gantt chart based deliverables.

  • Successful product rollouts
  • Negative impact: when not utilized correctly, employees can be overwhelmed and not actively participate on Asana.
