We selected Neos because we already had Needles, and it was going to be the most cost-effective and seamless transition. We have always considered Filevine and evaluate it once a year or so, but we usually stay with Neos because we don't want to deal with the migration.
In comparison to past products I have used in the past, including Needles and TrialWorks, Filevine is just as great a product and even has some features and abilities that the others haven't. I would prefer to continue using Filevine.
In my personal experience Assembly Neos is well suited for all our business needs here at our law firm. I can't think of any scenario where it's less appropriate. I can't even imagine what my workload would be like without Assembly Neos. It makes my case management easier and bearable. If you haven't worked with Assembly Neos you should give it a try because it will meet your needs.
File Vine is well-suited because I believe it was invented to assist Law Firms with document organization for the legal cases collected in a Law Firm. It is easy to navigate and find your documents with a click of a button.
Stores large files/allows for large files to be easily accessed and pulled up
The Assembly Neos tagging feature in the notes section has been incredibly helpful in keeping assignments organized and directing coworkers to certain case files
The tabs in the Documents section are very detailed and help keep large case files organized
The display of each file is easy to look at and organized, even when the files are very big or busy
Reporting- it's missing the ability to pull information needed for law firms to properly evaluate performance, and the information that is available can be difficult to put together in a report.
Time keeping- it does not allow variables by user and must be set by teams, and then you cannot set minimum time increments differently by user or by project/ case.
Support- the live support allows easy access, but, in my experience, their ability to solve problems is hit and miss, and when live support cannot find the answer, expect to wait many days and often weeks before getting an answer, and then sometimes you still do not get one.
I gave Assembly Neos a 10/10 because it has transformed how we manage cases from intake to settlement. The platform combines powerful automation, centralized document management, and seamless communication tracking in a way that saves our team hours every week. It’s intuitive for new users, highly customizable to match our workflows, and backed by responsive customer support. NeosAI and workflow automation have noticeably reduced manual tasks, allowing us to focus more on client service and case strategy. Overall, it’s become an essential tool for running our firm efficiently and effectively.
Filevine is complex, and while it manages documents well, it fails in almost every other aspect. It does not do a two-way sync to your outside calendar, and you can forget about having reports available to easily monitor performance. The reporting system appears robust but complicated at first, but then it becomes obvious that the report functions are extremely limited in practical uses every law firm expects, and therefore reporting in Filevine is just unnecessarily complex and overall a failure.
Because it's been a good and efficient source for our company to manage our client's profiles and being able to track everything that is happening during the process of their case. And while they get the attention needed but also for us to see the progress we have made with their treatment.
Filevine is pretty user friendly. The interface looks good and it is relatively easy to navigate. I would identify as someone who is pretty tech savvy but for someone who isn't so experienced, Filevine is still very usable. Rarely do I come across an issue that I cannot find some alternate work around
Assembly Neos support is top tier. Within minutes, sometimes even seconds after submitting a ticket for help, someone from Assembly Neos is calling to help. The staff has always been extremely nice and so helpful. They always take their time explaining things and helping us to solve whatever problem we may have
Their live video chat support is a good resource, but often the problem cannot be resolved through this chat, and then promises to have someone follow up are almost always dropped. Filevine fails to make corrections for glitches or missing basic functions.
Neos stands out strongly against other case management software programs due to its consistent and frequent updates. Most software updates occur once a quarter or even once a year. I feel like I'm receiving a message from Neos Assembly once a week, advising that a new feature is in the beta stage or is now live as a complete new addition.
I’ve tried Clio, MyCase, and PracticePanther. Clio is super user-friendly with lots of integrations, MyCase is great for billing and communication but more limited on automation, and PracticePanther is easy to use but not as strong on reporting. Compared to them, Filevine feels more customizable and workflow-focused, though it does take more time to learn.
By creating well-defined processes and implementing automated systems within the platform, it has become significantly easier to handle a higher volume of cases than would be possible without any systems in place.

Better client communication and less expensive with texting from the file. Less expense than letters. Reduction in letterhead and postage costs of at least $2000 per year. Emailed letters may not be noticed as quickly but text messages are.
Less time on billing. Saves on our bookkeeper tasks making it more part time and allows paralegal tasks to be added for this person increasing productivity.
