As a technology diligence specialist, on the buyside I'll use whatever the target company has chosen. On the sell side, if asked for a recommendation, I'll usually point clients towards the most suitable solution for their scale and the complexity of the deal.
Much easier to navigate folders and data within the specific projects. The data rooms mentioned above sometimes only allow for one download at a time which significantly bogs down our team members. Datasite does a great job of allowing users to quickly review and download data …
Datasite Diligence Virtual Data Room is the clear leader in virtual data rooms. Its tracking and update features are top notch. Other sites do not have the same functionality.
There is not really our decision to choose Datasite Diligence Virtual Data Room rather than other services provides, since Client / Target hire Datasite Diligence Virtual Data Room.
Datasite is well suited for organizing large quantities of a variety of documents into folders. It is not as well suited for Xcel, which generally requires downloading in order to review, but there are quick preview options for Word and PDF items.
SharePoint Document Management excels as a central repository for storing, organising, and retrieving documents. It supports version control, metadata tagging, secure access, and integration with tools like Power Automate. At our organisation, it's used for managing contracts, policies, and supplier documents. SharePoint Workflow Automation integrates with Power Automate to streamline approvals, gather feedback, and automate recurring tasks. This reduces reliance on email chains and manual trackers.
User-friendly interface. We download datarooms for a single deal over 30+ times per deal (as the dataroom gets updated), so the interface being easy to access / navigate is extremely important.
Features: Datasite Diligence Virtual Data Room gives great tools beyond just downloading a dataroom. Easy notifications when something gets downloaded, two factor authentication, ability to search data room or filter for recently uploaded files, etc.
Organization: A lot of data rooms do not allow you to keep organized file paths. When you download a dataroom it often looses all the index folder names. Datasite Diligence Virtual Data Room keeps files extremely organized and is always available.
Major feature I noticed in other datarooms that's missing in Datasite Diligence Virtual Data Room is bulk download feature. I can select multiple files/folders under a parent folder, however, I would like to be able to download selected files/folders from among multiple folders.
Another feature I'd love to see is a "New*" menu item in Q&A, just like we have in the Documents section correctly. I know I can still use the date to filter the latest answered questions, but having the "New" option makes it a lot easier to do a quick filter. My idea is that this option will show all activity that I haven't looked at since my last login, irrespective of date.
Windows Explorer users have some difficulty having to constantly UPLOAD / DOWNLOAD files. Specifically on the DOWNLOAD when they are used to Drag & Drop in & out of LOCAL folders via Window's explorer.
Microsoft SharePoint supports multiple "library" types. When implementing our "image" library the search function is done via "tags" and boolean logic. This is challenging to most end users. I'd like our users to be able to search our Microsoft SharePoint image library without having to enter KEYWORD or other BOOLEAN logic.
Microsoft SharePoint can also be an internal website for each department or company wide communication tool but I believe these features are geared for much larger organizations. Since we are a SMB we really aren't using these features. So maybe something more useful to SMBs would be nice.
It is my go to data room provider and I am super comfortable using it. I don't think I would want to use anything else since I can't trust them like I can trust Datasite
It's integral to our business. It's already included with most of the Office 365 licensing we buy, so the cost is effectively zero. It stores our files, it is the foundation for custom applications, and Microsoft only continues to enhance its functionality and its connections to other Microsoft tools. SharePoint just keeps getting better and better.
Tough to figure out at first but after using the platform for some time, you can get used to Datasite Diligence Virtual Data Room pretty quickly. Would be great to have more of a tutorial up front to better be able to navigate the software, especially starting off as the data dealt with is sensitive.
No usability issues reported. Individual teams also have allocated areas which replace legacy shared drives on local LANs. Access to Sharepoint resources is fully integrated with corporate Active Directory with additional two-factor authentication required for administrative users. Users have access to Microsoft Services Hub which allows you to create, manage, and track support requests while staying current on Microsoft technologies with access to select self-paced learning paths
The face to face training I received was on SharePoint Administration. It was rushed as there was a lot of information to cover and the application of the labs weren't that great either. I like to be able to relate what I am learning to what I am currently doing.
I like to learn at my own pace and online training allows for that. Additionally, you can skip through pieces of content that you already know or are already comfortable with. Microsoft actually offers great videos on their website for basic fundamental SharePoint Training. I have used these training videos in some of my own training sessions with end users.
