For small to medium-sized companies HotSchedules works great when business is very static. If you are simply using HotSchedules for a schedule writing tool, it is phenomenal. However, it does miss the mark as a labor control software. Needs more controls to keep managers aware of spending versus historical sales data.
I have used a lot of different HRIS systems over 23 years in HR. Paycom is by far has the most comprehensive suite of options that is easy to use for end users and administrators. Their support is top notch in the industry, from helping you with setup and implementation to troubleshooting issues. Paycom has dedicated staff for you to reach out to at any time that are knowledgeable and work towards resolutions.
Communication is so simple on HotSchedules. Whether it is communicating a new schedule release, or a quick note about tonight's shift we as managers are able to easily communicate and know that it will reach our team through text notifications, or email notifications.
The Meal Break planning tool is very useful in being able to help our floor leaders clearly understand and plan for what breaks are needed throughout the shift. This allows them to come up with a strategic game plan quickly and spend more time with our guests.
Shift Swaps and Releases are so seamless. This is our favorite tool as it makes helping our team cover shifts extremely easy and painless. On the flip side it also makes staff who want more hours be able to find what is available in real time.
Clocking In and out can be a little slow. It takes longer to clock in then our previous method. Before we just had a card you swiped and it would clock you in. Took 2 seconds. Now with the Hotschdules method we use it take 30 seconds or so. Not a huge issue but it can add up if you have one computer and a line of employees waiting to clock in.
Time Cards. It does not allow you to view someones current time until the "punch" has ended. If the manager would like to check what time the employee clocked in/out from lunch they have to wait until the employee has clocked out for the day before the record is generated. As a shift lead you may send and employee to lunch but forget to note what time you sent them. Awhile passes and you feel like they should be back by now, so you want to go in and see what time they left for lunch but it does not show you that punch record because the employee is still "clocked in" they are just on their "Meal Break"
The ability to customize the restrictions for Clocking in and out. You can set it up so that employees can only clock in from a specific location, however if you have a manager who is allowed to work from home they would not be able to clock in without being at the same location as set in the software. It would be nice to see it able to be customized per user.
I would like to see a extra time given for training to employer and employees before going live for the first payroll process without the pressure of a definitive start date. I was told we would be charged additional fees if we could not start on the date we decided on and then was dropped in the middle of my first payroll run because the client service had a pre arranged appointment with another client. The first payroll run was very chaotic and stressful. Please be sure your client is comfortable and ready before processing. And perhaps plan to spend that first entire Payroll day with them.
Would like to see more long-term client service assigned to our account. We have had ours change several times within the year and it just feels good knowing your going to call and speak with someone that knows you and/or your business well and can give a better educated answer based on your specific business needs.
We are having an issue with our 2021 taxes and a discrepancy between what was reported to the IRS and the SS admin. I have supplied all the 941 information from our previous payroll provider that was sent to the IRS. I can not seem to get a real good answer about the discrepancy yet. Hoping this will be resolved soon though. I wish we had open access to speak directly to a tax team member. Everything gets communicated between a client service rep and it is difficult when they do not understand the tax situation.
We've made the mistake of moving away from Paycom to a PEO which had made a lot of promises, that they could not keep. Less than a year after that transition, we returned to Paycom and are happier than ever.
6 Years of Experience provides me the insight on the upgrades and changes that HotSchedules has done to improve the experience of its users. There are so many features that we still have not started or used to the fullest, but we believe that we are currently getting a strong value out of the money that is paid for this product.
The system is very user friendly. Once you navigate where your information is stored under the forms you are golden. While the training amplified my capabilities and knowledge, I could have jumped into the system without and training and managed just fine. This probably one of my favorite parts about Paycom!
On rare occasions a phone call has been required to find the solution to a problem, the HotSchedules response staff have been helpful, courteous, and genuinely seem to care for their clients and take pride in what they do. The consistent development and fine tuning of the platform, interface, and mobile environment shows that this is not a program full of people who rest on their laurels.
Paycom is the best payroll and HR software I have utilized in my 30 plus years as a CPA working in private industry. I am always confident in the software and my support team. The software is updated on an ongoing basis automatically. Paycom relieves a lot of stress over this vital area of any business.
All the online training modules were short and straight to the point. Every module teach you how to use the system. If there is one thing they know how to do is training. We did implementation during the pandemic so all had to be done online or via zoom meetings.
Not at all satisfied it was a nightmare we spent over 8 months with the implementation team having issues after issues all related to the Puerto Rico regulations (half my employees are in Puerto Rico) and at the end we were moved over from the implementation team to the production team without all the issues being resolved
I have not used any other Scheduling software for employees. As a campground manager in the summer season, we are using campground master for reservations. it is very similar in process to employee scheduling. the ability to the user of that program to set up their own parameters for time and reservations is something that would benefit the employee scheduling software.
Paycom blows both Heartland and ADP away. No comparison. I had nothing but issues with the others and no issues to speak of with Paycom. I will recommend Paycom to anyone looking for a truly all-in-one provider.
Saving time on scheduling means our managers can focus more on guest experience, managing the floor and other areas that contribute to the success of our business.
We no longer have a full-time HR manager. The duties are split between a Controller and another manager-reduced costs-all in an $80,000/year savings.
Employee self-management of benefits enrollments eliminated manager support for the process. It's completely self-administered by the employee, probably saves 80 hours of administrative work at a minimum and eliminating any chance that management makes an error on the employee's record.
